Gateway to Prevention is seeking a detail-oriented, organized, and compassionate Financial Services Coordinator to support our Substance Abuse and Behavioral Health programs. This role is responsible for managing insurance verification, billing support, client financial coordination, and maintaining accurate records across multiple electronic health systems. The ideal candidate is comfortable working in a healthcare environment while communicating financial information clearly and respectfully to clients.
Key Responsibilities
- Assist the Revenue Cycle Manager in reviewing and resolving billing remittances
- Conduct verification of benefits (VOB) for new consumers and clearly explain financial responsibility prior to treatment services
- Engage with clients regarding financial agreements and ensure completion of intake and financial documentation
- Support accurate and compliant billing processes for Substance Abuse and Behavioral Health services across systems
- Maintain organized and secure financial and client records in compliance with regulations
- Review and maintain PICIS and coordinate follow-up actions with treatment staff
- Coordinate and assist with LOC (Level of Care), LOT (Length of Treatment), and CCBHC processes
- Enter CDCs into PICIS accurately and in a timely manner
- Identify clients who have not been seen for an established period and collaborate with staff to determine discharge or outreach needs
Required Skills & Qualifications
- Basic understanding of finance and accounting principles
- Experience with commercial and Medicaid billing, preferably in behavioral health or substance abuse treatment settings
- Strong proficiency in Microsoft Excel, Word, and other office software
- Familiarity with PICIS and Sunwave CRM (or similar systems) preferred
- High accuracy in data entry and strong attention to detail
- Strong understanding of compliance and confidentiality standards (HIPAA and financial regulations)
- Excellent customer service and communication skills, especially when discussing financial responsibility with clients
- Strong problem-solving skills and ability to manage multiple tasks efficiently
- Effective time management and ability to adapt to changing priorities
- Ability to work collaboratively with team members and supervisors
- Maintains strict confidentiality and protects sensitive client information
