Gateway School District is looking for a Fiscal Assistant for our Business Office at our Central Administration Building.
- Reports to Business Manager
- 12 month term (258 days)
- Teamsters Local 205 (Class 7 Secretary/Clerical)
Minimum Qualifications
- Associate's degree with related training and/or experience; Bachelor's degree preferred
- Must have strong background and experience in bookkeeping and accounting operations as deemed necessary by the LEA for general accounting duties to include, but not limited to: cash receipts, cash disbursements, bank reconciliations
- Experience in general office and clerical work; working knowledge of office programs, policies, and operations preferred
- Possess a keen attention to detail
- Ability to communicate effectively, both orally and in writing, using proper grammar and vocabulary
- Excellent integrity and good moral character
- Ability to work cooperatively in an office setting and be a team player
- Possess the interpersonal skills to relate well with administrators, co-workers, district staff, and community members (including parents and students), especially during difficult and emotional situations
- Ability to work independently and be self-motivated
- Required Clearances: Current Act 34 Criminal History Record (PA State Police), Act 114 Federal Crime History (FBI Fingerprinting), and Act 151 Child Abuse History
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Goals: Perform and maintain all duties and functions required to manage and support the operation of the District's Business Office
Essential Duties and Responsibilities
- Responsible for the procurement of the needed supplies, equipment, etc. for the District (bidding process - typing all forms; obtain quotes, bids and specifications; and open bids)
- Assist with the implementation and setup of all digital purchase order process
- Enter and process purchase orders within the District and properly distribute to all locations
- Match completed purchase orders with invoices
- Check invoices against purchase orders for errors and completion
- Enter batches of invoices
Works with the Accounts Payable and Secretary to the Business Office in printing checks and maintaining check register
- Assist in the processing of the district-wide nurse's end of year report for the state
- Responsible for the annual school bidding process for paper, supplies, equipment, and services
- Assist in budget preparation
- Maintain accurate records of all purchase orders and invoices for all specification accounts
- Schedule district-wide shredding
- Maintain end of month account reports for entire District for over expenditures
- Coordinate the student financial obligations with the buildings and update in the District's business management system
- Coordinate with the Facilities & Transportation Secretary, Pupil Service Secretary, and Athletics Secretary to process all transportation invoices
- Performs all duties relating to the scheduling and billing for all facilities of the District for all scheduled athletic events and practices and all activities, including rentals
- Works cooperatively, and cross trains with the Accounts Payable and Secretary to the Business Office
- Other duties and responsibilities which pertain to the daily operations of the Business Office as assigned by the Business Manager or the Assistant Business Manager
Marginal Duties & Responsibilities
- Process and maintain all budgetary transfers
- Post June accounting accruals
- Back up for Accounts Payable and Secretary to the Business Office, as needed
- Retrieve information for the auditors
- Cover Central's main office desk, as needed
- Open interoffice and postal mail; date stamp incoming mail; process outside mail; maintain postage machine-funds-postage by phone, all supplies
- Assist the Business Manager in the preparation for the annual audit

- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must have the ability to compute rates, ratios, and percent.
- Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with multiple problems.

- Ability to operate a variety of office machines.
- Must be able to type a minimum of 60 words per minute
- Ability to develop effective working relationships with students, staff, and the school community.
- Patience in dealing with staff, parents, and students.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to perform duties with awareness of all district requirements and Board of Education Policies
