Definition
This position serves as the primary central office liaison for various computer software systems that archive student records, bus stop locations, route details, school attendance zones, and a broad range of student and transportation data. This role supports the Transportation Director by providing assistances and taking on leadership duties when needed in their absence.
Duties and Responsibilities
• Manages tasks related to systems such as BusPlanner (integral to the state-mandated Transportation Information Management System (TIMS)), Synovia, BSIP, Travel Tracker, FuelMaster, and the daily operations of the Transportation Department in compliance with state and local regulations related to student information and transportation.
• Participates in training sessions to efficiently use various transportation software databases and keeps up-to-date with related technological advancements.
• Develops instruction booklets and forms to assist users in retrieving mandatory data.
• Establishes and issues deadlines for data submission.
• Performs quarterly student data loads directly from Infinite Campus, and researches and resolves student data inconsistencies.
• Produces TD-TIMS Report and assists with other Transportation DPI reports, including passenger lists, driving instructions, maps, and additional reports for distribution to schools and drivers.
• Assist with processing transportation employee and activity bus driver payroll, ensuring accurate and timely data entry into the Oracle system.
• Maintains and ensures files remain synchronized and up to date.
• Troubleshoots and resolves minor software issues related to BusPlanner; escalates unresolved routing problems to the Institute for Transportation Research and Education (ITRE) at UNCC for timely correction.
• Communicates effectively with bus drivers, school staff, parents, directors, Infinite Campus operators, central office administrators, the public, and other stakeholders.
• Determines effective bus transportation system models by adjusting stops, routes, and schedules.
• Researches and responds to questions related to bus routing and stop locations.
• Conducts site visits as necessary to assess bus stop locations, turnarounds, clarify addresses, etc.
• Provides support to school administrators for summer school and other special programs.
• Maintains the county street network by collaborating with county GIS planning to continuously update street listings, addressing, subdivisions, and parcel information according to ITRE specifications.
• Identifies and enters data for one-way streets, speed limits, railroad tracks and crossings, streets with medians, state-maintained roads, and no-travel streets to ensure efficient and safe school bus routes.
• Assists Student Support Services in planning new school attendance areas and in drawing and maintaining accurate school boundary lines and student addresses.
• Provides information to public sources, schools, and central office staff to ensure correct pupil assignments.
• Promotes the entire student database annually based on address data and provides reports to Central Office Administrators to support school capacity planning and teacher allotment decisions.
• Visits schools to verify the accuracy of reported data such as bus loads and bus numbers.
• Provides maps to schools, administration, and public agencies as needed.
• Performs random audits of driver timesheets to ensure compliance and accuracy.
• Supervises mini-bus drivers.
• Attends planning meetings as required.
• Performs other related duties as required.
Assists Transportation Director
• Oversees and supports the performance, maintenance, and accuracy of systems and department personnel.
• Prepares, maintains, and submits all required state and local reports.
• Conducts observations and annual evaluations of transportation staff.
• Resolves conflicts and addresses concerns with employees.
• Handles parent complaints related to bus routes, stops, and driver issues.
• Investigates driver complaints and concerns.
• Compiles and projects annual state and local budget requests.
• Attends relevant committee and staff meetings.

• Requires strong computer skills and the ability to follow technical instructions for operating hardware and software systems used to collect, manage, and transmit necessary data.

Physical Requirements
• Must be physically capable of operating various types of equipment, including computers and peripheral devices, hand tools (e.g., screwdrivers, pliers), and standard office machines such as copiers, calculators, and typewriters.
• Must be able to exert up to 20 pounds of force occasionally, 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects.
• Physical demands exceed those typically required for sedentary work. This role qualifies as Light Work, which may involve significant walking or standing. If arm and/or leg controls require more exertion than sedentary standards, and the individual remains seated most of the time, the role is still classified as Light Work.
Minimum Training and Experience
• Graduation from high school and five years of computer related experience in an automated office or systems environment or graduation from technical school with computer operations coursework with two years of experience in an automated office or systems environment; or equivalent combination of education and experience.
