What are the responsibilities and job description for the Video Production Coordinator position at Garver Engineering?

The Video Production Coordinator will assist in supporting the Communications Team by managing the logistics, scheduling, and administrative tasks required for successful video production. This role ensures smooth coordination between creative, technical, and internal stakeholders, helping deliver high-quality video content that aligns with brand standards and campaign objectives and will sit in our Downtown Little Rock office.
To do this effectively, you will:
- Schedule and organize video shoots, including booking locations, talent, and equipment.
- Maintain production calendars and ensure deadlines are met, including maintaining projects and tasks in our project management software.
- Work closely with Client Service Project Manager to gather creative direction and project requirements.
- After coordinating with the Client Service Project Manager, support the Senior Videographer and Photographer by helping prepare call sheets and shot lists.
- Source props, wardrobe, and other production materials as needed, ensuring every item makes it on set and communicating with in-person stakeholders regarding these materials when not there yourself.
- When applicable, support the production team during shoots (e.g., handling releases, managing schedule).
- Help ensure compliance with safety and brand guidelines.
- Track editing progress and assist with feedback coordination between editors and stakeholders.
- Organize and archive video assets for future use both in Vimeo and on the video server.
- Manage production budgets, expense tracking, and payments to external vendors and freelancers.
