Quality Assurance Specialist

POSITION SUMMARY

Responsible for monitoring various aspects of service delivery to ensure Garten Supported Services meets established compliance, certification, and agency quality standards by examining electronic records, reports, operating practices, and documentation.

ESSENTIAL FUNCTIONS

  • Conduct regular review of hardcopy and electronic records of individual support and program operations records.
  • Ensure efficacy of Supported Services programs during all periodic reviews.
  • Communicate with all agencies and state personnel, and participants’ teams as needed.
  • Collect, compile, and create graphic displays of data for overall agency reporting.
  • Review auditing forms and recommend revisions to the Supported Services Operations Manager.
  • Work collaboratively with the Quality Committee and participate in informational meetings as required.
  • Maintain a current knowledge of and ensure compliance with all regulatory bodies and Garten’s policies, procedures, and practices.
  • Verify compliance with best-practice standards by completing periodic audits throughout Supported Services.
  • Maintain and monitor a tracking log of deficiencies identified through internal and external audits, site visits, licensing reviews, and similar assessments, including corrective action plans for resolution
  • Communicate audit findings by preparing summary reports and discussing with auditees and other appropriate parties
  • Identify compliance issues that require follow-up or investigation, and report those issues to the Operations Manager
  • Inform the Operations Manager of all emerging compliance issues.
  • Serves as the confidential point of contact for anyone seeking clarification on compliance issues or to report irregularities.
  • Coordinate the collection and presentation of Satisfaction Surveys.
  • Collaborate with the Operations Manager to monitor mandatory training completions and review training documentation/reports.
  • Participate in committees as determined by the Operations Manager.
  • Complete any state-specific regulatory requirements, such as investigations, where applicable.
  • Complete annual licensure documentation for the Oregon Department of Human Services (ODHS) and the Office of Intellectual and Developmental Disabilities (I/IDD).
  • Ensure complete, accurate and timely delivery of monthly billings
  • Performs other pertinent tasks as assigned.

MINIMUM QUALIFICATIONS

  • Minimum of 5 years’ compliance or quality experience in an environment that provides services to people with Intellectual/Developmental Disabilities.
  • Associate’s degree in human services, Special Education, or Psychology preferred.

PREFERRED QUALIFICATIONS

  • SETWorks user experience

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced computer literacy, including learning new platforms, proficiency with MS Excel, creating pivot tables and graphs, and agency electronic records and database systems.
  • Knowledge of relevant regulatory requirements, which could span multiple states.
  • Attention to detail.
  • Data collection, management, and analysis.
  • Problem analysis and problem solving
  • Planning and organizing.
  • Written and verbal communication skills

WORKING CONDITIONS

  • Work involves reviewing electronic records and documentation and may include on-site audits at agency-operated locations.
  • May require periodic travel between program sites and attendance at meetings as needed.

PHYSICAL DEMANDS

  • Ability to sit, stand, and use a computer for extended periods.
  • Ability to travel to program sites for on-site auditing as required.
