Position Overview
The Administrative Coordinator will be the first point of contact for customers, vendors, and internal teams. This role involves answering phones, scheduling, job costing, and general administrative support. You will work closely with the Office manager, operations manager, estimators, and field crews to ensure seamless communication and accurate project documentation.
Key Responsibilities
Answer incoming calls and provide friendly, professional customer service- Schedule estimates, project start dates, and follow‑up appointments
- Assist with job costing, including tracking labor hours, materials, and subcontractor invoices
- Prepare and maintain project files, contracts, and documentation
- Support the operations manager with daily workflow coordination
- Communicate with field crews regarding schedules, updates, and job requirements
- Enter and update data in CRM and project management systems
- Process invoices, receipts, and basic bookkeeping tasks
- Handle general office duties such as email management, filing, and ordering supplies
Qualifications
Previous administrative or office support experience (construction or trades industry a plus)- Strong communication and customer service skills
