Job Overview
The Medical Receptionist serves as the first point of contact for clients, families, visitors, and referral sources. This role is responsible for providing exceptional customer service, coordinating front-desk operations, managing scheduling, and supporting clinical and administrative workflows. The Medical Receptionist ensures a welcoming, organized, and compassionate environment aligned with the mission of providing high-quality mental health care.
Responsibilities
Front Desk Operations
- Greet clients, visitors, and vendors warmly and professionally.
- Check clients in and out for appointments, ensuring all required documentation is completed.
- Answer and route incoming calls; take accurate messages and return calls promptly.
- Maintain a clean, organized, and confidential reception area.
Scheduling & Client Coordination
- Verify demographic and insurance information at every visit.
- Communicate appointment reminders, cancellations, and follow-up instructions to clients and clinical team.
- Assist in coordinating intake appointments and assist new clients with intake paperwork.
Insurance & Billing Support
- Collect copays, deductibles, and outstanding balances in accordance with policy.
- Verify insurance eligibility and benefits before scheduled appointments.
- Communicate insurance issues, coverage changes, or required authorizations to clients.
- Process payments and maintain accurate daily cash logs or electronic payment records.
Administrative & Clinical Support
- Prepare and distribute client forms, releases, and packets as needed.
- Scan, upload, and file documents into the electronic health record (EHR).
- Assist clinical staff with administrative tasks such as retrieving charts, preparing materials, and managing communication with referral sources.
- Handle incoming and outgoing mail, faxes, and correspondence.
Compliance
- Maintain confidentiality of all client information in accordance with HIPAA and facility policies.
- Follow all organizational procedures, safety guidelines, and infection control protocols.
- Support quality assurance functions by ensuring accurate data entry and documentation.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- At least 1 year of medical office, behavioral health, or healthcare reception experience preferred.
- Strong interpersonal and communication skills; ability to interact with clients experiencing emotional distress.
- Proficient with EHR systems, scheduling software, and Microsoft Office Suite.
- Ability to multitask in a fast-paced outpatient environment.
- Knowledge of HIPAA regulations and basic medical terminology preferred.
Job Type: Full-time
Pay: $21.00 - $23.00 per hour
