What are the responsibilities and job description for the Business Development/Office Manager position at Garage Experts of Western Pennsylvania?
The Office Manager will be responsible for various tasks to include, but not be limited to:
· Administrative Duties and Customer Relationships:
· Answer office telephone with appropriate greeting
· Return customer phone calls, inquiries, and product related inquiries
· Schedule appointments for consultations, estimates, installations, and repairs and coordinate such appointments with sales and installation team
· Project Management:
· Manage post-installation follow-ups and warranty matters
· Coordinate project calendars, installer availability, and material orders to optimize workflow
· Track project milestones, deadlines, and budgets
· Update customer relationship management (CRM) systems
· In-Office Operations:
· Design and utilize electronic and manual filing systems for retention, protection, retrieval, transfer, and disposal of records
· Track inventory, initiate and order supplies
· Track shipments and provide proactive notifications of shipping delays and deliveries.
· Receive and accept shipments
· Marketing, Networking and Trade Show Events
· Maintain social media pages and answer inquires
· Attend and participate in local networking events on behalf of Garage Experts.
· Attend home and trade show events to help market the business.
· Monitor and manage vendor relationships
· Bookkeeping:
· Prepare and send invoices and sales receipts
· Manage client payments and maintain thorough financial records.
· Prepare and process employee payroll
· Maintain QuickBooks and bank record reconciliation
· Equipment and Vehicle Maintenance:
· Schedule equipment repair and replacement
· Schedule vehicle maintenance and repairs
· Maintain log of trusted vendors and suppliers for easy reference
· Must be able to take direction well, learn from training / coaching and practice critical thinking.
· Should be respectful and courteous when working with customers and coworkers.
· Should maintain a neat personal appearance.
· Able to read and comprehend installation manuals (available in English).
· Good understanding of office management and marketing principles
· Demonstrable ability to multi-task and adhere to deadlines
· Well-organized with a customer-oriented approach
· Ability to learn computer software and online applications (CRM tools, Dropbox, QuickBooks Online, etc.)
· Skilled in Microsoft Word, Microsoft Power point and Microsoft Excel
· Must be able to pass a criminal background screening and drug test.
· Must have valid driver’s license and reliable transportation to drive to appointment sites or supplier locations.
· Must be authorized to work in the United States.
Pay: $45,000.00 - $60,000.00 per year
