Job Summary
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a positive and professional experience. You will manage a variety of administrative tasks, support office operations, and provide exceptional customer service. This position offers an exciting opportunity to contribute to a well-organized, efficient workplace while developing your skills in office management and administrative support.

Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them to appropriate personnel or departments
  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Manage front desk activities including scheduling appointments, handling incoming and outgoing mail, and maintaining visitor logs
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Support office management tasks such as calendar management, meeting coordination, and supply inventory oversight
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
  • Provide customer support by addressing inquiries professionally via phone or email in a bilingual capacity if applicable

Requirements

  • Proven office experience with strong clerical skills including data entry, filing, and proofreading
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Proficiency in computer literacy including Microsoft Office applications and Google Workspace tools
  • Exceptional phone etiquette with experience managing multi-line phone systems
  • Strong customer service orientation with the ability to handle inquiries professionally and courteously
  • Bilingual abilities are preferred to serve diverse client needs effectively
  • Previous experience as a receptionist or administrative assistant in medical or dental settings is a plus
  • Knowledge of QuickBooks or bookkeeping experience is advantageous but not mandatory
  • Personal assistant or office management experience will be considered an asset
