Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them to appropriate personnel or departments
- Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Manage front desk activities including scheduling appointments, handling incoming and outgoing mail, and maintaining visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Support office management tasks such as calendar management, meeting coordination, and supply inventory oversight
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
- Provide customer support by addressing inquiries professionally via phone or email in a bilingual capacity if applicable
Requirements
- Proven office experience with strong clerical skills including data entry, filing, and proofreading
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Proficiency in computer literacy including Microsoft Office applications and Google Workspace tools
- Exceptional phone etiquette with experience managing multi-line phone systems
- Strong customer service orientation with the ability to handle inquiries professionally and courteously
- Bilingual abilities are preferred to serve diverse client needs effectively
- Previous experience as a receptionist or administrative assistant in medical or dental settings is a plus
- Knowledge of QuickBooks or bookkeeping experience is advantageous but not mandatory
- Personal assistant or office management experience will be considered an asset
