Primary Job Description
The primary responsibilities of the Project Manager/Shipping Coordinator role are the following: directly interact with our clients through estimating, booking, managing, and invoicing high-value and complex fine art shipments. These include inventory management, international import and export shipments (a background in international art shipping is helpful), domestic ground and airfreight shipments, and local handling and installation projects. The Project Manager/Shipping Coordinator works closely with the local trucking, crating and warehouse departments, with our regional branches in the USA, our overseas branches in the UK and France, and with our vast network of partner agents both domestic and international. The Project Manager/Shipping Coordinator is expected to master all G W systems, procedures, and policies. This position reports to the Branch General Manager and the West Coast Director and works closely with all staff members in both the office and operations departments. The position is in-office as part of a collaborative team environment.
Essential Duties:
- Client communications including but not limited to estimating, coordinating, and invoicing domestic airfreight and international shipping projects, domestic and local ground transports or installation projects, and any other shipments as necessary
- Coordinate bookings of air & ocean shipments, track cargo shipments, advise status to overseas agents as requested, process all documentation required for export orders, amend documents per agents/customers request and correlate information between airline, steamship lines and oversea agents
- Coordinate logistics of all shipments for specified customers and provide day to day customer service while correcting any discrepancies that may hinder shipments
- Review and arrange export documents (packing list, freight, and insurance., customs, various export control agencies) in conjunction with the International Shipping Manager.
- Respond to and answer pertinent questions from customers regarding shipping and country regulations, required information, invoices, quotas, and other queries.
- Review all entries, vendor charges, client invoice packages and file record keeping prior to submitting to supervisor for payment and final review.
- Adhere to G W company practices, systems, and fiscal policies
- Issue client communications, estimates, and invoices in a timely manner
Qualifications
- Experience working in domestic and international shipping at a fine art logistics company, art gallery, museum, freight forwarding company or similar environment preferable.
- Familiarity with fine art logistics, client communication, US import/export procedures
- Strong computer skills: Microsoft Office Suite, Adobe Creative Suite, Moveware CRM/ERP System and working knowledge of database programs.
- Strong organizational and problem-solving skills.
- Thorough attention to detail.
- Strong writing and communication skills.
- Ability to work collaboratively as well as independently, interacting in a professional manner with co-workers, vendors and clients.
- Available to work occasional evenings and weekends.
Pay: $75,000.00 - $90,000.00 per year
