Job Summary:
Gallery Dept. is seeking a highly organized, resourceful, and detail-oriented Development Operations Coordinator to support office operations. The Development Operations Coordinator’s main responsibilities will be to provide operational support to the Design & Development Team. The ideal candidate is a proactive self-starter who thrives in a fast-paced setting, can work independently, and can manage multiple responsibilities with professionalism and precision.
Development Operations Coordinator
Duties/Responsibilities:
· Open and close the facility; coordinate security systems and building access.
· Maintain daily communication with security personnel.
· Ensure the office is clean and prepared for daily operations, coordinating with the Operations Team as needed.
· Assist in ERP and PLM system data needs, including but not limited to, handling Purchase Orders and Transfer Orders for the Design & Development team.
· Maintain driving log and communicate schedule with driver.
· Create and maintain accurate line sheets and WIP.
· Coordinate meetings/appointments with external parties, including models, photographer, etc.
· Main point of contact for incoming/outgoing packages.
· Organize and maintain internal and off-site sample rooms including detailed inventory tracking.
· Coordinate and organize all sample and inventory pulls as needed.
· Receive and organize approved Proto, SMS, PP, and TOP samples and maintain approval records.
· Prepare garments for fit sessions, photoshoots and handoff.
· Coordinate the distribution of SMS samples to Production.
· Manage sample and archive photo library.
· Other duties as assigned.

- Proven ability to prioritize and meet deadlines, provide a high level of attention to detail, and handle multiple deadlines simultaneously
- Hands-on, mobile, and able to manage physical duties throughout the day
- Familiarity with security protocols, inventory systems, and office/facility operations
- Team player with a proactive mindset and strong attention to detail
- Proficient in Google Workspace, Microsoft Office Suite, and Mac/PC systems
- Flexibility to work extended hours as needed
- Must be punctual, dependable, and maintain excellent attendance
- NDA required upon hire
Education and Experience:
- High School Diploma or GED required; Associate or Bachelor's degree preferred
- 1–2 years of experience in office coordination, development, showroom, or customer service roles
- Knowledge in enterprise systems: ERP, PLM a plus
- Proficient in Google Docs, Microsoft Office, Word, PowerPoint
- Adobe Illustrator experience a plus
- Intermediate Excel (able to manage spreadsheets and data)
- Experience in fashion, production, or creative environments strongly preferred
Physical Requirements:
· Comfortable standing for long periods of time, physically mobile; can lift up to 25 pounds
- Comfortable sitting for long periods of time
- Work long days if needed
