Gabriel Plumbing and Heating Office Administrative Assistant

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks to support our growing small business. Duties of the Administrative Assistant include providing communication and scheduling support to our owner and employees, assisting in daily office needs and managing our company’s general administrative activities. The Administrative Assistant responsibilities include taking client calls, establishing scope of work, scheduling appointments, preparing and sending billing invoices, receiving and entering supply invoices, preparing reports. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Excel, quickbooks, and scheduling software. If you have previous experience as an administrative assistant or are a highly organized and personable person who wants to learn and become part of a small team, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

What you’ll do

  • Take customer inquiry phone calls and establish basic scope of work over the phone with a friendly demeanor
  • Coordinate follow up calls efficiently and professionally ensuring excellent customer service
  • Communicate with owner and others regarding incoming calls and inquiries and support their response to customers through return calls or emails.
  • Maintain calendars for appointments and estimates while ensuring effective time management
  • Perform data entry, filing, and clerical tasks to support office management
  • Utilize QuickBooks for basic bookkeeping and financial record-keeping tasks
  • Provide customer support through effective communication and problem-solving skills
  • Proofread invoice and other documents for accuracy and clarity before distribution
  • Receive and enter billing invoices accurately to ensure prompt payment and proper billing to customers
  • Collaborate with team members to ensure seamless office operations

Requirements

  • Professional, polite demeanor
  • Proven experience as an administrative assistant or customer service specialist
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, printers, etc
  • Proficiency in MS Office (MS Excel and MS Word)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Key qualifications

· Strong verbal and written communication skills

· Proficiency with basic computer software, including the Microsoft Office Suite

· Excellent organizational skills

· Enjoy working in an office environment mostly alone

· Ability to multitask and work with minimal supervision

· A high level of professionalism and attention to detail

· A consistently positive attitude and willingness to learn.

· Physical Requirements:

· Availability and willingness to work indoors, mostly sitting

· Ability to drive a vehicle

· Schedule and Pay:

· Full Time, 35 - 40 hours per week

· Hourly rate: $20 – 24.25/hour depending on experience
