The Contract Specialist supports the firm’s contract review and advisory functions for client agreements, subconsultant agreements, amendments, task orders, certificates of insurance, and related legal documents in support of the firm’s planning, interior, architecture, and engineering services. Reporting directly to and training under the Senior Contract Specialist, this role assists in the contract review and negotiation processes, risk identification, and term evaluation.

The Contract Specialist serves as a developing internal resource for contract interpretation and administration, escalating complex negotiations and strategic issues to the Senior Contract Advisor. Additionally, this role assists in maintaining firm-wide contract standards, templates, and risk management guidelines.

Requirements:

Essential Duties (Major Responsibilities/Activities):

Under the guidance and training of the Senior Contract Specialist, the Contract Specialist executes the following under strict confidentiality on all duties and tasks:

  • Along with the executive admin team, supports and assists with the creation and on-going management of business-related agreements—including but not limited to client contracts, subconsultant agreements, amendments, task orders, and nondisclosure agreements—preparing initial documents, markups and notes for the Senior Contracts Specialist or Principal’s review.
  • Assists in analyzing proposed contract terms for legal, insurance, operational, and financial risk, helping to draft revision or mitigation strategies consistent with firm policy.
  • Tracks the active review of documents, actively compiling comments and markups and incorporating them into the final contract drafts.
  • Helps educate and provide resources to project managers, operations leaders, and other staff on fundamental contract structures and business terms, translating complex language into practical guidance.
  • Helps advise project teams on key contractual obligations such as notice periods, insurance requirements, invoicing triggers, and amendment activity.
  • Supports the Senior Contracts Specialist in partnering with legal counsel, insurance brokers, finance, and firm leadership on higher-risk provisions, claims-related issues, and nonstandard agreements.
  • Manages the administrative side of contract execution, including formatting final documents, preparing exhibits, and routing agreements for physical or electronic signature (e.g., DocuSign).
  • Manage and oversee the tracking system to monitor contract files. Coordinate with Project Executive Assistants to maintain organized digital contract files and accurately enter contract data into internal tracking systems.
  • Assists with public-sector and private-sector contracting requirements, including gathering compliance documentation, and submitting required certifications.
  • Tracks and requests standard administrative items like Certificates of Insurance (COIs), tax clearances, or vendor compliance forms prior to contract execution.
  • Assists in tracking loss prevention and other claims.
  • Assist in creation of library of acceptable contract terms.
  • Contributes to broader operational and risk-management initiatives that strengthen consistency and compliance across the firm. Documentation and record retention of internal G70 operations policies.

Nonessential Duties:

  • Assist in managing and coordinating insurance-related issues and documentation for firm contracts.
  • Review standard project-related contract documents and exhibits, including payment provisions, entry permits, lien waivers, and basic amendments.
  • Prepare or review the supporting documents needed prior to contract execution (e.g., corporate resolutions, tax/Department of Labor clearances).
  • Review basic non-project-related contracts and internal agreements such as standard vendor contracts and employee confidentiality agreements.
  • Maintain and update the firm's internal contract handbook, templates, and related resources.
  • Perform other administrative, operational, or secondary tasks as assigned or needed.

Education/Experience

  • Bachelor’s degree in business, legal studies, contract management, or a related field preferred; equivalent relevant experience may be considered.
  • Two years of experience in contract administration, paralegal support, or related administrative/operational work, preferably in architecture, engineering, construction, or professional services is preferred.
  • A strong willingness to learn the nuances of reviewing and negotiating complex professional services or project-related contracts. Understands the importance of keeping information confidential, especially aware of non-disclosure agreements in contract terms.

  • Strong verbal and written communication skills.
  • Excellent Organizational skills and attention to detail.

  • A developing understanding of contract drafting, review, and lifecycle administration. Capable of learning how to identify risks related to indemnity, liability, insurance, standard of care, scope, and compensation.
  • Good decision-making skills with the ability to exercise sound judgment on standard issues, while knowing when to escalate complex business needs and contractual risks to the Senior Contract Specialist.
  • Strong verbal and written communication skills, with a growing proficiency in redlining, drafting issue summaries, and explaining concepts clearly to project teams.
  • Highly self-motivated and detail-oriented, possessing excellent organizational skills. Capable of multitasking and successfully managing multiple competing priorities and deadlines with guidance.
  • Collaborative mindset with the ability to work cooperatively within a team framework. Demonstrates a high level of discretion, integrity, and trust when handling confidential, proprietary, and sensitive business information.
  • Proficient with Microsoft Office and PDF editing tools. Familiarity with (or willingness to learn) e-signature platforms and contract tracking/lifecycle management systems.
  • The majority of time will be spent seated at a computer; however, some intermittent walking, standing, and use of stairs may be required to perform the essential functions of the job.

Salary Range: $50,000 - $75,000/year
