FYZICAL Therapy & Balance Centers is seeking a Full-Time Client Care Specialist to join us at our new Collegeville, PA, clinic. Our Client Care Specialist works closely with the clinical team, coordinating patient care and providing a seamless experience for new and existing clientele. This role requires exceptional critical thinking skills, attention to detail, and a sincere desire to help our patients achieve a better quality of life. Excellent customer service, both in person and over the phone, and a welcoming personality are essential for success. As the first point of contact, the Client Care Specialist creates the standard of patient communication and care and is vital to the success of our organization.

Primary Responsibilities Include:
- Perform opening and closing procedures of the office each day
- Schedule and enter appointment dates and times into computerized scheduler
- Gather all intake information and enter patient into the EMR
- Compile and manage the Referral Conversion Report (DMR)
- Record when appointments have been filled or canceled
- Document reasons for cancellation or reschedule and inform treating therapist
- Telephone patients to remind them of initial appointments
- Greet and direct patients, salespeople, referral sources, and visitors
- Answer telephone and respond to inquiry or direct caller to appropriate personnel
- Assist with other medical office needs, including receiving and posting payments for services provided
- Reconcile all payments for deposit each day
- Adhere to company’s policies and procedure
- Adhere to company’s values statement and social contract
- Other duties as assigned
Successful Candidates Must Have:
- High school diploma or equivalent
- Must be at least 18 years of age
- Valid driver’s license and reliable transportation
- Exceptional communication skills and ability to develop lasting relationships with clients, vendors, and colleagues
- Experience with insurance verification (copays, deductibles, authorizations), creating fiscal responsibility documents, building patient profiles, and HIPAA compliance is preferred
- Excellent time management, organization, and communication skills
- Proficiency in Microsoft Office products
- Ability to oversee multiple tasks with ease
- Ability to work efficiently & effectively in an autonomous environment
- Must be initiative-taking with a willingness to learn and help coworkers when necessary
- Positive and empathetic attitude with a strong work ethic
