Position Title: Fleet and Building Maintenance Manager

Reports to: VP of Compliance and Administration

Position Purpose:

The Fleet and Building Maintenance Manager is responsible for overseeing the safe, compliant, and cost-effective operation of the organization’s fleet of more than 40 vehicles and the maintenance of 10 facilities across four counties in Connecticut. This role ensures preventive maintenance, regulatory compliance, vendor management, and safety programs that support the organization’s mission.

Status: Full-Time, Exempt

Salary: Range dependent on experience ($45,760 - $50,000)

Key Responsibilities:

Fleet Management & Maintenance:

  • Oversee daily operation, safety, and maintenance of 40 vehicles and works with area vehicle coordinators.
  • Ensure compliance with CT DMV, DOT, and insurance requirements.
  • Schedule and track inspections, registrations, insurance, and documentation.
  • Manage preventive maintenance programs and vendor relationships.
  • Maintains detailed fleet records, GPS monitoring and safety logs.
  • Monitor vehicle safety systems and address violations.
  • Maintain, inspect, and oversee company vehicles used to transport students, ensuring compliance with Connecticut V‑Endorsement and student passenger vehicle requirements.
  • Ensure fleet vehicles transporting students meet all applicable safety standards, inspection protocols, and regulatory requirements.
  • Support fleet budgeting and vehicle replacement planning.

Building & Facilities Maintenance: 

Oversee maintenance of agency buildings across four counties.
 Coordinate HVAC, electrical, plumbing, and fire safety maintenance.

 Ensure compliance with building codes and safety regulations.
 Conduct routine inspections and manage repair projects.
 Manage facility maintenance vendors and contractors; including snow removal.

Safety, Compliance & Risk Management:

• Implement safety programs for vehicles and buildings.
 • Ensure OSHA, fire marshal, and insurance compliance & trainings.
 • Maintain documentation for audits and inspections.

Managerial Responsibilities: 

  • Supervise area/location assigned staff and contractors.
  • Develop and manage maintenance budgets.
  • Prepare operational and compliance reports.
  • Collaborate with leadership and program teams.
  • Develop, implement, and maintain an organized, centralized system for receiving, tracking, and managing maintenance work orders across all facilities and divisions.
  • Utilize or implement an online work order platform that enables division leadership to submit requests efficiently and allows maintenance staff to track, prioritize, and follow up on requests consistently.
  • Oversee the prioritization, communication, and timely completion of work orders to ensure service responsiveness, operational continuity, and stakeholder satisfaction.

Qualifications:

  • Associate’s or Bachelor’s degree in a related field or equivalent experience.
  •  Minimum 5 years of fleet or facilities management experience.
  •  Knowledge of Connecticut DMV and DOT regulations.
  • Strong organizational, leadership, and communication skills.
  • Valid CT driver’s license; V-endorsement preferred or willingness to obtain.
  • Knowledge of Connecticut V‑Endorsement requirements and student passenger vehicle regulations preferred.
  • Experience maintaining vehicles used for student or passenger transportation strongly preferred.
  • Demonstrated ability to manage fleet compliance documentation, inspection schedules, and regulatory reporting requirements.
  • Proficiency with technology and data systems used for fleet management, compliance tracking, and maintenance work order coordination, including the ability to implement or manage centralized, online work order platforms.

Working Conditions:

• Combination of office, field, and on-site work.
 • Daily/Weekly Travel to all our locations within Connecticut required.
 • Occasional emergency or after-hours response (including snow removal).
 • Ability to lift up to 50 lbs.
