ROLE OVERVIEW
Future of Cities is seeking a meticulous, high-integrity Relationship Management Associate to serve as the administrative engine behind our executive outreach and partner communications. With a growing community of 69,000 members and an expanding network of institutional partners, affiliates, and investors, we need a proactive, tech-forward administrator to manage the last mile of communication across all relationship streams.
This is a support and coordination role — not a senior or business development position. You will report directly to and support the executive and operations team, serving as the primary steward of our CRM, outreach workflows, email automation infrastructure, affiliate coordination, and brand partnerships. You will ensure no investor, partner, or inquiry falls through the cracks.
KEY RESPONSIBILITIES
Relationship & Outreach Management
- CRM management: Maintain absolute data integrity across 69k contacts. Segment lists based on survey data, interest themes (e.g. urban regeneration, wellness, investment, community, sustainability), and lead status.
- Outreach execution: Manage large-scale email deployments and 1-on-1 follow-ups for investor inquiries, event promotions, and partner communications.
- Affiliate & brand partner support: Act as the concierge for brand and affiliate partners — sending assets, tracking referral links, distributing promotional materials (discount codes, decks, etc.), and ensuring partners have everything they need to succeed.
- Inbox & calendar support: Monitor partnership and investor inquiries, filter and prioritize leads for the executive team, and schedule discovery calls and coordination meetings.
- Reporting: Provide weekly health reports on engagement rates, new partner sign-ups, investor interest levels, and affiliate activity.
Email Automation & Drip Sequences
- Monitor and maintain automated workflows — including welcome sequences, promotional offers, and investor nurture campaigns — ensuring delivery, open rates, and link integrity.
- Use company-approved AI tools (Claude, Gemini) to draft communications, build and run drip sequences, and automate follow-ups without constant supervision.
Ongoing Data Enrichment
- Continuously enhance contact records, organizational profiles, event histories, and engagement data through automated and manual enrichment workflows — drawing from internal platform activity and third-party sources.
- Establish scoring models and segmentation frameworks that evolve with organizational growth, keeping the CRM and email system current and actionable across all entities.
QUALIFICATIONS & SKILLS
- High-level trust: Proven track record handling sensitive investor data and executive-level communications with discretion.
- CRM expertise: Deep experience with HubSpot and/or Klaviyo — including tagging, automation, segmentation, and list management. Salesforce or ActiveCampaign a plus.
- AI tool proficiency: Excellent prompt engineering skills. Must have working command of Claude (Anthropic), Gemini, and ChatGPT — not just surface familiarity. Experience using AI to build workflows, draft communications, and automate tasks is required.
- Communication: Exceptional written and verbal English. Must be able to communicate professionally with investors, partners, and VIPs on behalf of the executive team, mirroring the Future of Cities brand voice — sophisticated, visionary, and grounded.
- Detail obsession: If a tag is missing, a link is broken, or a follow-up is overdue, you catch it before anyone else does.
- Design basics: Working knowledge of Canva and/or Figma for creating or resizing partner assets, email graphics, and promotional materials.
- Self-motivated: Able to work independently, manage multiple relationship streams simultaneously, and prioritize without daily hand-holding.
