Fusion Sign & Design is currently seeking a full-time Administrative Assistant II to join our dynamic team located in Casa Grande, AZ. The person in this role will perform advanced administrative functions and offer support to sales, accounting, and operational processes. This role requires strong organizational skills, independent decision making, and the ability to manage multiple priorities in a fast-paced environment.
Primary Focus

Key Responsibilities
Front Office & Coordination
- · Serve as primary point of contact for customers and vendors
- · Manage communications across departments
- · Support scheduling, coordination, and follow-ups
Sales & Project Support
- · Assist with entering design orders and sales orders
- · Support proposal preparation and documentation
- · Coordinate between sales, production, and customers
- · Track project documentation and updates
Accounting Support (AR/AP)
- · Assist with invoicing, collections, and customer accounts
- · Support accounts payable processes and vendor coordination
- · Process deposits, credit cards, and basic reconciliations
- · Ensure transactions are properly coded and documented
Payroll & HR Support
- · Assist with time card review and corrections
- · Support on-boarding paperwork processing and employee records
- · Maintain confidentiality of HR documentation
Operational Support
- · Assist with job costing coordination and documentation
- · Maintain organized and audit-ready records
- · Identify and improve inefficient processes
Qualifications
- · 2-5 years administrative experience
- · Experience supporting accounting and/or sales teams
- · Strong multitasking and organizational skills
- · Ability to work independently and prioritize workload
- · Experience with Quick Books or ERP systems preferred
