Role Description
The Media & Production Coordinator ensures campaigns are executed smoothly by managing the delivery of digital assets and overseeing the production of physical materials such as banners, signs, print collateral, direct mail, and promotional materials.
Key Responsibilities
- Develop and track materials needed lists with accurate and up-to-date deliverables, specifications, and deadlines
- Traffic approved digital media assets and outdoor billboard artwork to external partners to ensure deadlines are met and campaigns launch on time
- Organize final files to ensure proper naming conventions and check accuracy
- Collaborate with media, account, and creative teams to ensure assets meet proper specifications and appropriate lead times are communicated
- Source vendors and obtain quotes for direct mail, signage, banners, collateral and other printed materials and negotiate prices without sacrificing quality
- Provide account team with accurate estimates and options
- Coordinate production timelines, proofing and approvals of materials with vendors prior to going to printing
- Oversee logistics for printing, delivery, installation and breakdown of materials as needed
- Ensure brand quality and standards are met for each client
- Track production expenses, create purchase orders and submit invoices
- Review reporting dashboards to ensure media data accuracy
- What We’re Looking For
- 1-3 years of experience in marketing coordination, production or related field
- Understanding of marketing campaigns and processes
- Excellent organizational and project management skills
- Ability to manage multiple projects and deadlines at once
- Strong communication skills and attention to detail
- General knowledge of Microsoft Office and Google Workspace
- Proactive problem solver who thrives in a fast-paced environment
