Job Overview
We are seeking an organized Administrative Assistant to join our team! This role includes daily office operations, quarterly reports, annual reports. In this position, you will manage a variety of administrative tasks, coordinate schedules, and serve as the first point of contact for visitors and clients. Responsibilities
- Manage phone calls, take messages, and direct inquiries to appropriate team members.
- Maintain organized filing systems, both physical and digital, including data entry and document management using tools like Sage Master Builder Accounting, and Microsoft Office suite of programs.
- Schedule appointments, coordinate calendars, update data base of contacts.
- Perform clerical duties such as proofreading documents, preparing correspondence, and handling mail distribution.
- Handle bookkeeping activities including invoicing, expense tracking, and basic accounting data entry.
- Assist with office management tasks such as ordering supplies, maintaining office equipment, and overseeing general administrative procedures.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Proficiency in Microsoft Office Suite: Word, Excel, Outlook, PowerPoint.
- Excellent computer literacy with the ability to adapt to various software platforms quickly.
- Strong communication skills with professional phone etiquette.
- Demonstrated ability to handle multiple tasks efficiently through effective time management and prioritization.
- Experience with front desk operations, customer service excellence, and data entry accuracy.
- Knowledge of office management practices including filing systems, proofreading documents, and calendar management.
- Familiarity with the construction industry is advantageous but not required; personal assistant experience is also valued.
Pay: $18.00 - $22.00 per hour
