Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel valued from the moment they arrive
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and accuracy
  • Maintain organized files, data entry logs, and records using Microsoft Office, Google Workspace, and other office management tools
  • Schedule appointments, manage calendars, and coordinate meetings for staff members or medical/dental practitioners as needed
  • Perform clerical tasks such as proofreading documents, filing paperwork, and updating databases
  • Support office management activities including supply inventory, basic bookkeeping, and administrative support tasks

Qualifications

  • Proven experience in office administration or clerical roles with excellent organizational skills
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and phone etiquette to handle high-volume calls confidently
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience as a front desk or medical/dental receptionist is a plus
  • Demonstrated customer service skills with a friendly demeanor and professional communication style
  • Ability to manage time efficiently, prioritize tasks effectively, and maintain attention to detail during proofreading and data entry tasks
