Job Title: Bookkeeper

Pay Rate: $35/hr.

Shift: 1st

Benefits: Medical, Dental, AD&D, PSL


The Full Charge Bookkeeper / HR Assistant reports to the President and is responsible for, but not limited to, maintaining day-to-day accounting functions, accruals, financial statement preparation, and general accounting duties. This role also assists with Human Resources and payroll functions as needed.


Additionally, the position develops policies and directs and coordinates Human Resources activities, including employment, labor relations, benefits, training, and employee services.


Essential Duties and Responsibilities

The essential job duties include, but are not limited to, the following:


Accounting & Finance

  • Manage Executive Administrative Assistant functions effectively
  • Handle full-cycle Accounts Receivable, including collections
  • Set up and maintain new and existing vendor/customer accounts
  • Process Accounts Payable
  • Reconcile vendor statements and resolve discrepancies
  • Perform multiple bank, loan, and credit card reconciliations (USD & Euro)
  • Collaborate with the company’s accounting agency
  • Reconcile all Balance Sheet and Profit & Loss accounts; review for accuracy and prepare monthly reports and journal entries
  • Maintain the General Ledger
  • Prepare and administer quarterly sales tax returns and annual business taxes
  • Prepare monthly and quarterly financial statements
  • Liaise with the parent company in Italy and respond to information requests
  • Prepare annual 1099s
  • Assist with budget and audit processes
  • Maintain financial records and document retention
  • Manage deposits and cash reports
  • Review expense reports for accuracy and proper disbursement


Human Resources

  • Ensure compliance with legal requirements and government reporting regulations
  • Develop, implement, and communicate HR policies and procedures
  • Conduct new employee orientations
  • Maintain records related to benefits, personnel transactions, and employee data for reporting
  • Coordinate recruiting, interviewing, hiring, promotions, and terminations
  • Support performance review processes
  • Advise management on employee relations issues
  • Respond to inquiries regarding policies, procedures, and programs
  • Administer employee benefits programs (medical, dental, life, retirement, leave, etc.)
  • Prepare separation documentation and conduct exit interviews


General Responsibilities

  • Perform other duties as assigned by the President


Preferred Qualifications & Education

  • Bilingual (Spanish) preferred
  • High School Diploma and Bookkeeping Certification required (Associate’s or Bachelor’s in Accounting preferred), or equivalent combination of education and experience
  • Proficiency in accounting software (QuickBooks Enterprise preferred)
  • Experience with payroll systems (ADP TotalSource preferred)
  • Knowledge of foreign exchange (FX) transactions and international banking
  • Strong understanding of Generally Accepted Accounting Principles (GAAP)
  • Minimum of 5 years of bookkeeping experience

Physical Demands

  • Primarily a sedentary role
  • Regularly required to sit, stand, use hands and fingers, reach, talk, and hear
  • Occasionally lift and/or move up to 10 pounds
  • Use standard office equipment (computer, phone, copier, etc.)
  • Work is performed in a corporate office environment
