Responsibilities
- Maintain and renew business licenses and business tax licenses across jurisdictions.
- Register new business licenses, including Certificates of Use, Fire Permits, and other jurisdiction-specific certifications.
- Partner with CT Corporation to register FullBloom entities in new states.
- Maintain and renew registrations for six entities on SAM.gov.
- Manage other required registrations (e.g., NJ Pay-to-Play, fictitious names).
- Provide insurance certificates to clients, verifying coverage aligns with contract terms.
- Prepare, maintain, and organize corporate governance documents.
- Respond to legal and insurance questions within RFPs; maintain tracking spreadsheet of RFP activity.
- Collaborate with the proposal and operations teams to complete vendor forms and collect necessary signatures.
- Receive and process CT Corporation litigation notifications and legal requests.
- Review and organize physical mail for Legal (via FileBound) sent to the PO Box.
- Maintain and monitor the contracts mailbox for timely action.
- Handle monthly administrative tasks, including:
- Legal accrual requests to law firms
- Sending Lakewood Attestation notifications through PandaDoc
- Collecting signatures for IC agreements and other legal documents
- Assist with subpoenas and records requests by compiling and transmitting documents securely.
- Set up and manage matters on Legal Department’s LawVu platform.
- Research issues on Lexis and online.
- Perform other duties as assigned to support the Legal team.
Qualifications
- Associate’s degree or paralegal certificate required; bachelor’s degree preferred.
- Minimum of 3 years’ experience as a corporate paralegal, preferably in a multi-entity or multi-state organization.
- Familiarity with CT Corporation and government registration systems (e.g., SAM.gov).
- Strong working knowledge of corporate filings, compliance processes, and document retention best practices.
- Excellent written and verbal communication skills, with a high level of accuracy and attention to detail.
- Experience handling insurance certifications, legal documents, and contract workflows.
- Proficiency in Microsoft Office and legal document platforms (e.g., FileBound, PandaDoc).
- Demonstrated ability to manage competing priorities, maintain confidentiality, and support cross-functional teams
