Position Summary

The Administrative Assistant– Home Care & DDA Services provides day-to-day administrative support to ensure smooth operations in both home care and DDA programs. This role is ideal for someone with caregiving experience who understands the importance of person-centered care and wants to apply that knowledge in an office setting.

The Administrative Assistant supports client intake, staff scheduling, documentation, compliance, and general office operations while serving as a reliable point of contact for caregivers, staff, and families. Office team member must have reliable personal transportation.

Key Responsibilities Office Assistant

  • Answer phones, triage emails, and greet visitors by appointment.
  • Complete new client intake forms; log and route inquiries.
  • Prepare, organize, and update client and staff files (electronic and paper).
  • Track office and care supplies inventory; place orders and maintain vendor communication.
  • Schedule meetings, prepare agendas, take notes, and circulate action items.

Scheduling & Staff Support

  • Assist with scheduling caregivers and Direct Support Professionals (DSPs).
  • Maintain master schedules, distribute weekly rosters, and document schedule changes.
  • Coordinate coverage for call-outs and urgent shift needs.
  • Provide staff with updates, reminders, and credential renewal notices.

EVV & Documentation

  • Use the agency’s EVV system (e.g., Caresmartz360) to verify timekeeping and visits.
  • Reconcile missed punches and resolve scheduling variances.
  • Enter service notes, progress notes, and ISP/care plan updates.
  • Support incident reporting, follow-up documentation, and corrective action tracking.

HR & Onboarding Support

  • Collect and track pre-hire documents (I-9, W-4, background checks, TB/physicals, credentials).
  • Maintain onboarding checklists and prepare orientation materials.
  • Assist with compliance binders, audit preparation, and corrective action follow-ups.

Billing & Payroll Support

  • Pre-reconcile timesheets and EVV for payroll.
  • Flag discrepancies and submit documentation to Billing/HR.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Prior caregiving experience (home care, senior care, or DDA services) strongly preferred.
  • Minimum 1–2 years of administrative, office, or scheduling support experience.
  • Familiarity with COMAR and Maryland home care/DDA standards is a plus.
  • Proficiency with Microsoft 365/Google Workspace; EVV system experience preferred.
  • Strong communication, organizational, and time management skills.
  • Compassionate, detail-oriented, and comfortable balancing both office and care-related tasks.

Schedule & Pay

  • Full-Time: 8:00 AM – 4:00 PM (approximately 30 - 40 hours per week)
