Role Overview
We are looking for a driven Intake Specialist/Receptionist with proven sales experience to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and prospective clients. The ideal candidate will have excellent communication skills, strong organizational abilities, and a friendly demeanor. You’ll be responsible for making meaningful connections, qualifying leads, and booking consultations that drive firm growth. This is a sales-focused intake role — not just answering phones.
Key Responsibilities
- Conduct structured 15–20 minute intake calls using firm-provided scripts.
- Qualify potential new clients based on service needs.
- Manage a high volume of outbound dials and follow-ups daily.
- Enter and maintain accurate client data in CRM.
- Meet and exceed KPIs, including qualified bookings, speed-to-lead, and follow-up conversions.
- Work closely with consultation specialists and attorneys to ensure smooth client handoffs.
- Greet and welcome visitors in a warm and friendly manner
- Maintain an organized reception area, ensuring it is clean and presentable at all times
- Perform clerical duties such as filing, data entry, and maintaining office supplies
- Provide excellent customer support by addressing client needs and concerns promptly
- Support office management by organizing schedules, meetings, and appointments
- Provide administrative assistance to team members as required
- Complete client onboarding and offboarding
- Conduct scheduled outreach and follow up with leads and clients, design and send newsletters, etc.
Requirements
- Sales experience required (legal industry a plus, but not required).
- Tech savvy; able to work with CRM, dialers, and productivity tools.
- Proven ability to meet quotas and manage a pipeline.
- Strong follow-up discipline; high daily dial/engagement volume.
- Comfortable using scripts and open to coaching/feedback.
- Excellent communication skills; empathetic and client-focused.
- Strong organizational skills with the ability to multitask effectively
- Attention to detail for proofreading documents and correspondence
- Customer-oriented mindset with a friendly and professional demeanor
- Computer literacy with proficiency in MS Office Suite (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
- Ability to work independently as well as part of a team
- Previous experience in clerical or personal assistant roles is a plus
- A positive attitude and willingness to learn are essential for success in this position
Compensation
- Base hourly/salary performance-based bonuses.
- Clear KPI and quota structure with opportunities to increase earnings.
Full-time in-person role with firm-provided training and support.
