The Material Coordinator is responsible for managing and controlling material-related documentation to ensure accuracy, traceability, and compliance across projects and operations. This role supports the smooth flow of materials by processing, verifying, and maintaining records such as purchase orders, packing slips, and bills of lading. The Material Coordinator works closely with multiple departments to ensure paperwork aligns with physical material movements and supports audits. This individual should have a strong proficiency in Excel (formulas, pivot tables, data validation; VBA a plus), experience with workflow tools such as Smartsheet, Power Automate, SharePoint, or similar platforms. Also, the Material Coordinator should have strong analytical skills with attention to detail and data integrity and the ability to translate business needs into technical or system solutions
Minimum Requirements
Education: High school diploma or GED required. Bachler’s degree in information systems, business, operations, or related field preferred
Experience: 2 years of experience supporting business systems, reporting tools, or operational software preferred
Travel: 0-10%
Work Schedule: This position works between the hours of 6 am and 6 pm, Monday through Friday. Overtime may be required.

Key Responsibilities
- Process and manage material-related paperwork, including reviewing, filing, scanning, uploading, and distributing documents such as purchase orders, packing slips, and bills of lading.
- Maintains organized physical and digital filing systems to ensure documents are easily accessible and retained according to company policies.
- Performs accurate and timely data entry into databases, spreadsheets, Material systems, and tracking tools.
- Verifies documentation for accuracy and completeness, including quantities, part numbers, dates, PO numbers, signatures, and other required information.
- Coordinates with operations, shipping, receiving, purchasing, production, and accounting teams to ensure documentation matches actual material activity.
- Tracks the status of required paperwork to confirm documents are completed, approved, and submitted within established timelines.
- Responds promptly to document requests from supervisors, internal teams, auditors, and customers.
- Ensures compliance with company procedures related to document control, record retention, and confidentiality.
- Supports internal and external audits by retrieving and providing required material and shipping records.
- Identifies discrepancies or missing documentation and escalate issues as needed to prevent delays or material mismatches.
- Performs other related duties as required and assigned.
