Key Responsibilities:
Document Control & CMS Management
- Ensure proper document flow, tracking, and compliance with project requirements
- Manage and maintain the Contract Management System (CMS) (OpenText or similar)
- Support project closeout activities, including archiving electronic and physical files in accordance with project requirements
- Review contractor submittals for completeness and compliance
- Track and manage RFIs, submittals, NCRs, and other project logs
- Ensure timely responses and workflow progression within CMS
- Support preparation and tracking of change orders and contract modifications
- Assist in processing contractor pay applications and maintaining pay tracking logs
- Support cost documentation and contract execution activities
- Coordinate and support project meetings (scheduling, materials, minutes)
- Maintain meeting records and action item tracking
- Coordinate across stakeholders including Port staff, contractors, and tenants
- Coordinate documentation and workflows related to site access, utility shutdowns, and stakeholder requests
- Maintain construction photos, logs, and project records
- Assist in tracking redlines and as-built documentation
- Support preparation of construction bulletins and field directive
- Coordinate documentation and workflows related to site access, utility shutdowns, and stakeholder requests
- Experience supporting Port, aviation, or large public infrastructure projects
- Familiarity with construction contract compliance and public-sector documentation requirements
- Experience working with offsite archiving systems (e.g., Iron Mountain)
- Advanced proficiency in Microsoft Office Suite and project tracking tools
- 20 years of experience supporting construction or capital projects in a project assistant, project coordinator, or document control capacity
- Bachelor’s degree in Construction Management, Engineering, Business, or related field (or equivalent experience)
- Strong experience with document control systems (CMS) such as OpenText or similar platforms
- Demonstrated experience managing RFIs, submittals, change orders, and contract documentation workflows
- Ability to work in a fast-paced, deadline-driven construction environment
- Strong organizational skills with the ability to manage multiple workstreams simultaneously
- Excellent written and verbal communication skills, including experience supporting executive-level and external stakeholders
- Document control and CMS management (OpenText or similar)
- Construction contract administration (RFIs, submittals, change orders, pay apps)
- Project tracking and data management
- Stakeholder coordination and communication
- Strong attention to detail and organization
- Ability to manage multiple priorities in a fast-paced environment
