Office Manager Role:
As the Office Manager, you will take ownership of the daily operation and organization of the home office while providing high-level administrative support to executive leadership.
This is a broad, high-trust position where no two days will look exactly the same. You will manage competing priorities, coordinate people and resources, solve problems, and ensure important details do not fall through the cracks.
Executive & Administrative Support
Provide proactive administrative support to the executive leadership team, anticipating needs and keeping priorities, commitments, and follow-ups on track.
Manage executive calendars, scheduling, travel arrangements, and meeting logistics.
Coordinate conference rooms, technology, catering, and other meeting requirements.
Prepare presentations, reports, agendas, correspondence, meeting materials, and executive communications.
Capture and distribute meeting notes, decisions, and action items while helping ensure appropriate follow-through.
Handle confidential business and employee information with professionalism, discretion, and sound judgment.
Office Operations & Facilities
Own the day-to-day operation, organization, appearance, and overall functionality of the home office.
Manage office and kitchen supplies, mail, shipping, printers, conference rooms, storage, and other general office needs.
Coordinate building maintenance, property management, outside vendors, repairs, and facility-related needs.
Maintain office procedures, vendor contacts, recurring schedules, and administrative documentation.
Attend weekly job update meetings and distribute notes and action items as needed.
Proactively identify office needs, troubleshoot issues, and coordinate solutions before they disrupt operations.
HR, Recruiting & Employee Coordination
Serve as the primary internal liaison with the company's outsourced HR partner, coordinating requests, communications, documentation, and follow-up.
Coordinate recruiting logistics, including resumes, interview scheduling, candidate communication, and phone screens when requested.
Assist with offer-to-start preparation and new-hire readiness.
Coordinate employee onboarding and offboarding with HR, IT, and leadership, including workspaces, equipment, welcome materials, and first-day logistics.
Coordinate required employee training and maintain certification and expiration tracking for OSHA-30, First Aid, Blue Card, and other required programs.
Maintain Drug-Free Workplace administrative requirements and related records.
Connect employees and managers with the appropriate HR resources when needed.
IT & Technology Coordination
Serve as the first point of contact for basic in-office technology issues and coordinate more technical matters with the outsourced IT provider.
Coordinate technology setup and termination requirements for employees.
Track company hardware, monitors, peripherals, and related equipment.
Help ensure conference rooms, printers, Wi-Fi, shared technology, and A/V equipment are functional and ready for use.
Events, Culture & Employee Experience
Plan and execute company events, birthdays, milestone celebrations, holiday parties, team-building activities, and all-hands meetings.
Maintain the annual culture and events calendar.
Coordinate employee gifts, recognition programs, apparel, and other culture-related initiatives.
Marketing, Communications & Brand Support
Manage the company's social media content calendar, primarily for LinkedIn, and coordinate routine website updates.
Produce monthly internal and quarterly external newsletters.
Support Business Development with conferences, registrations, shipping, award submissions, collateral, and related logistics.
Maintain organized brand assets, templates, photography, and approved company materials.
Coordinate projects with outside marketing and branding partners.

Office Manager Background Profile 
3 years of experience in office management, executive assistance, administrative operations, or another high-responsibility administrative support role.
Previous experience supporting executives or senior leadership while managing multiple competing priorities.
Exceptional organizational skills and the ability to keep track of numerous small but important details.
A proactive mindset with the ability to anticipate needs and take initiative without waiting for a detailed task list.
Comfort working through ambiguity and determining how to move projects forward with limited direction.
Ability to pivot quickly when priorities change without losing track of existing responsibilities.
Strong judgment regarding what can be handled independently, when input is needed, and when an issue should be escalated.
Strong resourcefulness and problem-solving skills with a natural ability to research, ask questions, and find solutions.
Excellent written and verbal communication skills with the ability to interact professionally with executives, employees, candidates, clients, and vendors.
Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams, with the ability to quickly learn new technology and systems.
Experience coordinating vendors, schedules, events, and administrative processes.
Preferred experience includes:
Construction, professional services, or another project-based business environment.
Employee onboarding and recruiting coordination.
Company events and employee engagement initiatives.
Social media, newsletters, or internal communications.
Coordination with outsourced HR and/or IT providers.
