JOB SUMMARY: This non-exempt, full-time position is responsible for assisting the senior program within FCS, ensuring that policies, procedures, and practices comply with the Council on Accreditation (COA) standards, state, and federal law, and are consistent with the agency’s mission statement, core values, and service principles. This position provides administrative support and service delivery to the senior programs in the Services Department as it relates to scheduling employees using the Electronic Health Records System (EHR-Alayacare). With additional responsibilities of assisting with quality assurance monitoring of program payroll and billing, staff, and client scheduling, shift coverage as needed supporting clients and data entry into EHR.
ESSENTIAL FUNCTIONS: Input and manage employee and client schedules as directed by program advocates. Identify discrepancies or inaccuracies in service documentation. Review services documentation daily. Complete visit verifications and service tasks review daily. Electronic quality assurance and compliance. Organizes and maintains client files, forms, equipment manuals and resources.
Provides quarterly updates for the Senior Programs mailing list. Maintain meeting minutes for all formalized meetings within the Seniors Program. Assist and/or conduct all SIH/NTS referrals/intake. Manage the Lifeline supplemental funding requests. Assist the senior programs clients in community awareness activities. Collaborate and help complete monthly program billing submitted to finance, utilization and purchasing. Work collaboratively with Program coordinator on grants (new and renewals) and quarterly grant submissions. Prepare and mail resource calendars and quarterly program newsletter to various programs and participants. Assists with purchase orders, inventory, and receiving donations. Electronic quality assurance and compliance. Track utilization of units for all program clients.
Assist with file reviews. Assist with purging and break down discharged files in compliance with agency and grant regulations. Operational procedure maintenance for program. Maintain confidentiality as per policies and practice. Transportation between communities is required. Attend meetings as required. Ability to use common office equipment, including desktop computer, copier/scan/fax machine. Answer telephones/emails and text messages, direct calls, and take messages. Communicate with employees, Senior team, clients, and others to answer questions and disseminate or explain employee and client schedules information. Assist in the creation of services and care plans in the Alayacare system. Problem-solving for shift coverage with the Services Department. Customer service with clients, employees, and visitors. Organizes and maintains client files, forms, and resources. Must be knowledgeable of the overall services provided by Frontier Community Services to be able to assist with client and community questions regarding program information and perform the referral process. Assists in setting up special events (e.g., local conferences, in-service training, health fairs, etc.) that may occur in the evenings and weekends. Provide coverage for client shifts as needed and assigned by the supervisor that may occur on the evenings, weekends, and holidays. 25% of the work is providing direct support to our clients. Other duties as assigned.
QUALIFICATIONS, EDUCATION AND EXPERIENCE REQUIRED: High school diploma or equivalent. One year of paid full-time work experience in an administrative setting required. Preference given to experience working in a human service setting and/or scheduling. Typing speed of at least 45 words per minute. Valid Alaska Driver’s License and current Auto Insurance, Ability to transport individuals in your own vehicle.
PHYSICAL REQUIREMENTS: Occasional climbing, balancing, stooping, kneeling, crouching, reaching and crawling. Perform medium work involving exerting 20-50 lbs. of force occasionally, or 10-25 lbs. of force frequently, or an amount greater than negligible and up to 10 lbs. constantly moving objects.
LICENSES AND SPECIAL REQUIREMENTS: Position is subject to a background check. Must take TB test/screening annually. CPR/First Aid AED (will train) Attend and successfully pass basic MANDT training. must have a valid AK Driver License, and an acceptable driving record.
