Job Overview
We are seeking a detail-oriented and customer-focused Accounting & Administrative Assistant to support our accounting and administrative operations. This key role combines Accounts Payable, Accounts Receivable, billing coordination, and front desk/receptionist support, and works closely with the Accounting Manager, Sales, Service, and Administrative teams.
Responsibilities
- Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry and maintain accurate financial records using QuickBooks and other accounting software
- Support bookkeeping activities such as invoicing, billing, and expense tracking
- Organize and file documents efficiently, ensuring easy retrieval of records for audits or reports
- Assist with calendar management, appointment scheduling, and coordinating meetings for team members
- Provide excellent customer support by addressing inquiries promptly and courteously
- Handle clerical tasks such as proofreading documents, managing correspondence, and maintaining office supplies
- Support office management tasks including organizing files, managing Google Workspace tools, and overseeing general administrative functions
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent typing skills combined with strong data entry abilities
- Bilingual capabilities are a plus to serve diverse clients and team members effectively
- Prior clerical or administrative experience in a professional setting preferred
- Knowledge of multi-line phone systems, phone etiquette, and customer service best practices
- Strong computer literacy with the ability to adapt quickly to new software tools
- Experience in medical or dental receptionist roles or personal assistant roles is advantageous but not required
- Ability to manage time effectively while handling multiple priorities in a fast-moving environment
