The Accounts Receivable Accountant is responsible for managing and recording all incoming donor funds, ensuring accurate accounting of donations and other revenue sources. This role plays a critical part in maintaining strong internal controls, accurate donor records, and clean, efficient systems. coding, posting deposits, and processing cash receipts from donors.

essential duties 

Cash Receipts & Deposits

  1. Prepare and process daily deposits, including checks, cash, ACH/EFT transactions, and online donations.
  2. Ensure timely and accurate posting of deposits to the general ledger and donor systems.
  3. Reconcile deposits to bank statements and donor records.
  4. Track receivables and follow up as necessary for timely payments.

Accounts Receivable &Revenue Posting

  1. Post cash receipts and EFT transactions with accurate accounting codes
  2. Ensure revenue is recorded in compliance with nonprofit accounting standards.
  3. Track and resolve discrepancies between bank records, general ledger, and donor systems.
  4. Support the month-end close activities and receivables. 


Donor Records & Systems Management

  1. Create and maintain donor records in Raiser’s Edge or similar CRM systems
  2. Generate and maintain lists, reports, and revenue summaries. 
  3. Ensuring gifts are properly coded to campaigns and funds.
  4. Partner with Development to ensure accurate donor acknowledgments and reporting.


Systems Improvement & Cleanup

  1. Identify and help resolve data inconsistencies or historical issues in donor and accounting systems.
  2. Assist with process improvements to streamline cash receipts and receivable workflows.
  3. Support system clean-up efforts, documentation of procedures, and best practices.
  4. Participate in system upgrades, data audits, or process redesigns as needed.


Compliance Support

  1. Maintain accurate records for audit and compliance purposes.
  2. Assist with reporting or restricted fund reconciliation, as applicable.
  3. Provide support to Finance and Development teams as needed
  4. Perform other related accounting activities as assigned.

a. Education and Experience

  1. Bachelor’s degree in accounting or finance required.
  2. A minimum of 2 years of experience in general accounting and accounts receivable.
  3. Non-profit experience preferred.
  4. Experience processing casher receipts, deposits, and EFT transactions.
  5. Demonstrated working knowledge of MS365 Power Platform.


b. Additional Requirements

  1. Must satisfactorily pass criminal history check.
  2. Must satisfactorily pass tuberculosis (TB) test.
  3. Must have reliable transportation and a valid Washington State driver's license (or be able to obtain one by date of employment). 
  4. Employees and volunteers who operate their own or Friends of Youth vehicles on Friends of Youth business, must have a safe driving record as defined by Friends of Youth.
  5. Employees and volunteers who operate their own vehicle(s) on Friends of Youth business must carry auto liability insurance that complies with the requirements of Friends of Youth.

  11. Proficient skill set with Microsoft Office programs.
