Job Summary
We are seeking a detail-oriented and experienced Payroll Administrator to manage and oversee payroll processes within our organization. The ideal candidate will be responsible for ensuring accurate and timely payroll processing, maintaining compliance with relevant regulations, and supporting various payroll-related functions. This role requires proficiency in multiple payroll and accounting software platforms, strong analytical skills, and a solid understanding of financial concepts. The Payroll Administrator will play a vital role in maintaining the integrity of our financial and HR data, supporting benefits administration, and ensuring seamless payroll operations across departments.
Duties
- Process payroll accurately and efficiently using systems such as Kronos, Dayforce, or PeopleSoft.
- Manage employee data entry, updates, and maintenance within HRIS and payroll systems.
- Reconcile accounts related to payroll, benefits administration, accounts payable/receivable, and general ledger entries.
- Prepare journal entries for payroll transactions and ensure proper debits & credits are recorded in the accounting software.
- Conduct account reconciliation to verify accuracy of payroll data against financial records.
- Maintain compliance with federal, state, and local tax regulations related to payroll processing.
- Assist with benefits administration including enrollment, deductions, and reporting.
- Support non-profit accounting functions if applicable, including tracking grants or donations related to payroll expenses.
- Collaborate with human resources on employee onboarding/offboarding processes related to payroll changes.
- Perform data analysis to identify discrepancies or errors in payroll processing or financial reports.
- Ensure confidentiality and security of sensitive employee information at all times.
Experience
- Proven experience working with payroll management systems such as Workday, ADP, Paychex, Kronos, UltiPro, Ceridian, or PeopleSoft.
- Strong background in accounting principles including double entry bookkeeping, general ledger reconciliation, journal entries, debits & credits.
- Familiarity with financial software including QuickBooks or similar accounting tools.
- Demonstrated ability in data entry with high accuracy (10 key typing skills).
- Understanding of human resources functions related to payroll processing.
- Analytical skills for account reconciliation and financial analysis tasks.
