Job Summary
The Procurement Assistant will need to be highly organized and detail-oriented in their daily activities. They will support the procurement team in sourcing and purchasing materials, components, and services for our manufacturing operations. The Procurement Assistant will assist with order processing, supplier communication, inventory tracking, and ensuring smooth and efficient procurement operations.
Responsibilities & Duties

Order Processing: Assist in creating and processing purchase orders (POs) for required materials, equipment, and services, ensuring timely and accurate delivery.

Supplier Communication: Coordinate with suppliers to track order statuses, confirm delivery schedules, and resolve any issues related to shipments or orders.

Inventory Management: Help maintain accurate records of inventory levels and assist in monitoring stock to ensure production needs are met without delays. Alert senior procurement staff when stock levels are low or replenishment is required.

Documentation & Record Keeping: Maintain accurate and up-to-date procurement records, including purchase orders, invoices, contracts, and shipping documents.

Invoice Verification: Verify and match invoices against purchase orders and delivery receipts, ensuring correct pricing and quantities before forwarding to accounting for payment.

Supplier Relationship Support: Assist in managing and maintaining good relationships with suppliers. Support procurement team in evaluating supplier performance and conducting regular follow-ups on orders.

Data Entry & Reporting: Enter procurement-related data into ERP or procurement software systems. Assist in preparing regular procurement reports on purchasing activities, inventory levels, and supplier performance.

Market Research: Conduct basic market research to identify potential suppliers, compare prices, and assess product availability, assisting senior procurement staff in decision-making.

Compliance & Quality Control: Ensure all procurement activities comply with company policies and procedures, as well as industry standards and regulations. Assist in managing any discrepancies or quality control issues related to purchased goods.

Qualifications

Education: High School diploma or equivalent required; associate or bachelor’s degree in business administration, Supply Chain Management, or a related field is a plus.

Experience: Previous experience in a procurement, purchasing, or administrative role (preferably in a manufacturing or supply chain environment) is a plus, but not required.
