The Customer Service Coordinator is the primary point of contact and link between Fresh and Ready Food Group and its customers. This role requires strong customer interaction skills and is responsible for ensuring customer satisfaction, retention, and fulfillment of customer needs. The position supervises and coordinates office staff while acting as an assistant manager to the Office Manager and maintaining the highest standards of customer service.
Key Responsibilities:
- Serve as the primary contact for customers via phone, email, chat, or in person.
- Provide accurate and timely information regarding products and services.
- Handle customer complaints, troubleshoot issues, and provide effective solutions to ensure satisfaction.
- Communicate customer issues and complaints to the Office Manager, Operations, and Quality Assurance teams.
- Process specialty and exception orders, including add-on orders, late orders, incorrect date orders, order deletions, catering requests, and special event orders.
- Serve as the subject matter expert for the ordering system.
- Conduct quarterly customer service check-in calls with each customer.
- Create and maintain an up-to-date customer contact list.
- Assist the sales team with customer acquisitions and onboarding.
- Perform sales analysis and generate sales and production reports.
- Lead new customer orientation and onboarding activities.
- Set up new customers in the accounting and ordering systems.
- Update routes and users in the ordering system as requested.
- Perform additional duties as assigned.
Preferred Qualifications:
- Bachelor’s degree preferred; associate degree or equivalent combination of education and experience accepted.
- Minimum of 1 year of related customer service experience; 1 to 2 years preferred.
- Food and beverage industry experience preferred.
- Route management, retail, or merchandising experience a plus.
- Valid Non-CDL Class C driver’s license (if required by state) with a good driving record and a minimum of 3 years driving experience.
- Ability to operate or willingness to learn material handling equipment such as box trucks or handcarts.
- Excellent verbal and written communication skills.
- Ability to travel to client sites as needed.
- Strong commitment to delivering world-class service.
- Ability to lift up to 50 pounds consistently.
