Job Summary: Provide comprehensive administrative support to the College Counseling department in a private school setting, facilitating the college application process for students and fostering effective communication among students, parents, counselors, and colleges.
Key Responsibilities:
- Transcript Management: Create official FASNY transcripts for grades 9-12, update senior transcripts with mid-year and final grades, and manage transcript requests throughout the year.
- Transfer Student Records: Collect, review, and manage transcripts for transfer students from previous institutions.
- Grade Reports: Create predicted grade reports for senior students and upload all official documentation into the Scoir data management system.
- Self-Reported Grades: Support students with entering their self-reported courses and grades on college applications as needed.
- College Visit Coordination: Manage scheduling and logistics for college visits, including communication with institutions and updating the calendar
- Data Management: Maintain accurate and up-to-date student records and data within the Scoir data management system.
- Standardized Testing Coordination: Oversee the coordination and administration of PSAT/NMSQT exams, and SAT/ACT diagnostic exams. Support with proctoring.
- Resource Management: Maintain and update resources for the college counseling office to support students, parents, and staff.
- Event Planning: Schedule, coordinate, promote, and attend department events to foster engagement and promote awareness of college admissions processes.
- Newsletter Creation: Create a weekly college counseling newsletter for high school families to communicate departmental updates and events.
- Administrative Support: Assist with all other administrative tasks related to college admissions and guidance, ensuring the smooth operation of the department.
Working Conditions:
- Full-time position with regular school hours with ability to work from home a few days per week.
- Work is primarily performed in a school office environment, with interactions with students, parents, staff, and external partners. This is a fast-paced office, with competing priorities and the need to move seamlessly between tasks. It is a deadline driven role where attention to detail is paramount.
- Regular use of standard office equipment, computer systems, and software applications.
Qualifications:
● Bachelor’s degree
● 1-3 years of experience in the education field preferred
● Experience in a college counseling/admissions context preferred
● Proficiency in American school systems and curriculum required
● Proficiency in French school systems and curriculum preferred
Language:
● Fluency in the English language required.
● Candidate is not required to speak French, but knowledge of French and French culture will be an advantage
Technology:
● Experience with educational and college counseling software/programs is preferred (e.g. Pronote, Blackbaud, CollegeBoard, SCOIR)
● Advanced knowledge of Google Suite required
- Proficiency in Excel is essential

Salary : $55,000 - $68,000
