SUMMARY:
The Coordinator, Events & Partnerships plays an important role in bringing Fremont Street Experience events and experiences to life. This position supports the planning, coordination, and execution of concerts, special events, partner activations, filming requests, custom celebrations, and partnership initiatives.
As a key member of the Events & Partnerships team, this role manages day-to-day event logistics, production schedules, administrative operations, and partnership support to help deliver successful programs and memorable guest experiences.
The ideal candidate is highly organized, detail-oriented, collaborative, and passionate about live entertainment, events, and creating exceptional experiences in a fast-paced environment. This position requires flexibility to work evenings, weekends, holidays, and occasional overnight hours based on event schedules, filming requirements, and operational needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES BUT NOT LIMITED TO:
- Support the planning and execution of concerts, special events, partner activations, and private events from concept through completion.
- Develop and maintain production schedules, planning timelines, event checklists, and operational documents.
- Coordinate artist relations, hospitality, credentials, schedules, site plans, and event-day logistics.
- Serve as a liaison between event partners, property partners, vendors, artist representatives, production crews, and internal departments.
- Support partnership initiatives by coordinating assets, deliverables, timelines, and on-site requirements in alignment with partnership agreements.
- Manage partner and brand activation logistics, including vendor communication, setup, execution, and breakdown.
- Build and maintain strong working relationships with partners to support events, activations, and collaborative opportunities.
- Manage departmental administrative operations, including invoices, purchase orders, inventory, credentials, and internal event calendars.
- Coordinate filming requests, including scheduling, property communication, production logistics, and on-site support.
- Manage custom celebration requests, including client communication, content collection, scheduling, approvals, and confirmations with internal teams and partners.
- Support private events through client communication, site visits, proposals, permitting coordination, and event-day execution.
- Coordinate event communications and distribute operational information to internal teams and partners.
- Support on-site event execution by monitoring timelines, assisting with troubleshooting, and ensuring operational needs are met.
- Assist with post-event wrap-up, documentation, and reporting.
- Support general departmental and company-wide initiatives, safety programs, and special projects as assigned.
QUALIFICATIONS:
- 3–5 years of experience in event coordination, live entertainment, partnerships, production, hospitality, or a related field.
- Bachelor’s Degree in Event Management, Hospitality, Marketing, Communications, Business or related field preferred; equivalent professional experience.
- Experience supporting concerts, special events, brand activations, private events, or experiential programs.
- Strong organizational skills with the ability to manage multiple projects, timelines, and priorities in a fast-paced environment.
- Excellent communication and relationship-building skills with internal teams, partners, vendors, and clients.
- Strong attention to detail with the ability to coordinate logistics, documentation, and event operations.
- Proficiency with Microsoft Office, Google Workspace, project management tools, and event coordination platforms preferred.
- Ability to work flexible schedules, including evenings, weekends, holidays, and occasional overnight hours as required by event schedules.
PHYSICAL DEMANDS:
- Assigned duties are performed in an office, venue, and outdoor event environment.
- Must be able to stand and walk for extended periods during event days, including long shifts.
- Must be able to maneuver throughout event spaces, venues, and production areas.
- Must be able to work outdoors in varying weather conditions, including extreme heat and cold.
- Must be able to lift, carry, and move equipment, materials, and event-related items weighing up to 25 lbs.
- Must have manual dexterity to operate a computer and other necessary office and event equipment.
- Ability to work extended hours, evenings, weekends, holidays, and occasional overnight hours as required by event schedules.
- Must be able to work in environments with moderate to high noise levels, crowds, and active event operations.
