Job Summary

We are seeking a motivated and detail-oriented Felony Legal Secretary to join our team in the Riverton office. The Felony Legal Secretary provides comprehensive administrative and legal support to prosecutors handling felony-level criminal cases. This position is responsible for ensuring accurate document preparation, efficient case management, and timely coordination with courts, law enforcement, victims, and other stakeholders. The role requires a high level of confidentiality, organization, and attention to detail in a fast-paced, high-stakes legal environment.

Case Management & Documentation

  • Prepare, proofread, and format legal documents including complaints, informations, motions, subpoenas, warrants, and plea agreements, and order after hearings
  • Maintain and organize physical and electronic case files for felony cases
  • Track case deadlines, court dates, and filing requirements to ensure compliance with legal timelines
  • File legal documents with courts via electronic or manual systems

Court Coordination

  • Schedule hearings, trials, and meetings for assigned prosecutors
  • Coordinate with the victim witness program to arrange witness appearances, including law enforcement officers

Communication & Liaison

  • Serve as a point of contact between prosecutors, courts, law enforcement agencies, defense attorneys, and the public
  • Handle incoming calls, emails, and inquiries related to felony cases in a professional and confidential manner

Trial Preparation Support

  • Assist in preparing trial materials, including exhibit lists, witness lists, and trial binders
  • Organize case evidence documentation and discovery materials
  • Ensure prosecutors are fully prepared with required documents and materials for court proceedings

Data Entry & Records Management

  • Enter and maintain case information in case management systems and databases
  • Track case progress, dispositions, and statistical data for reporting purposes
  • Ensure accuracy and integrity of all records

Administrative Support

  • Manage attorney calendars and prioritize scheduling conflicts
  • Draft correspondence and general office communications
  • Perform general clerical duties such as copying, scanning, and filing
  • Serve as a backup misdemeanor secretary when needed

Qualifications

Education & Experience

  • High school diploma or equivalent required
  • Prior experience in a legal setting, preferably in criminal law or a prosecutor’s office preferred

Knowledge & Skills

  • Knowledge of legal terminology, court procedures, and criminal justice processes
  • Proficiency in Microsoft Office and case management systems
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet strict deadlines

  • Maintain strict confidentiality and professionalism
  • Work effectively under pressure in a fast-paced environment
  • Handle sensitive and potentially distressing information with discretion
  • Collaborate effectively with attorneys, staff, and external partners
