Job Description Summary
Food Pantry Volunteer Coordinator – Gerson Campus is responsible for the engagement, tracking, hours reporting, and coordination of volunteers participating at the Gerson Campus Food Pantry. The focus is coordinating impactful volunteer efforts for pantry operations while operating warehouse equipment safely and responsibly and overseeing other volunteer-related projects. Supports the goal of hunger relief by following practices that promote fiscal responsibility through time management, waste reduction, and recycling practices.
Essential Job Functions
1. Volunteer Engagement – Works with the Manager of Volunteer Engagement and Services to implement and evaluate strategies, processes, and policies that enhance the volunteer experience.
a. Assists with the volunteer confirmation and onboarding process of groups and individual volunteers.
i. Utilizes Volunteer Hub (online volunteer software) to capture all volunteer data and scheduling information. Communicate, guide, and direct individuals and groups on navigating the Volunteer Hub registration and check in/out process. Conduct onboarding and volunteer orientation when applicable.
ii. Work closely with the Volunteer Communication Specialist and Food Pantry Manager to schedule groups as needed.
b. Communicates effectively with various multi-ethnic and socio-economic groups and individuals.
i. Presents an all-inclusive orientation with supplemental materials (including safety instruction, project instructions, and hunger advocacy information) to train volunteers for daily tasks.
ii. Effectively engages individuals, groups, and staff to establish and maintain positive potential long-term relationships.
c. Provides direct daily supervision of food pantry volunteers.
d. Works with Volunteer Team to implement an evaluation and recognition program for food pantry volunteers.
i. Work with the MarCom team to implement a social media strategy for engaging and recognizing volunteers at the Gerson Campus Food Pantry through FSFB social media platforms.
2. Program Administration and Food Pantry Responsibilities– Executes continuous improvement of processes through systematic problem-solving. Works with the Food Pantry Manager to support gleaning and distributing all food categories. Establish a relationship with government and court officials for mandated volunteers.
a. Prepares workspaces and resources to maximize productivity and safety and provide quality volunteer experiences. Accurately pulls products from the warehouse and stages as necessary for volunteer projects such as food sorting, restocking, etc.
b. Adheres to Feeding America, USDA, OASHF, and quality control standards, and any product not meeting these standards is appropriately disposed of.
c. Maintains SafeServ, forklift, and required workplace safety certifications while employed for the Freestore Foodbank.
d. Serves on interagency committees and works directly with other FSFB staff members to facilitate discussions of volunteer activities necessary for the mission’s success as necessary.
e. Additional duties as assigned by the Food Pantry Manager, which will include maintaining, organizing, and cleanliness of the food pantry area in compliance with Feeding America, local, state, and federal agency’s policies, procedures, rules, regulations, and reporting.
Additional Responsibilities
1. Collaborates with other FSFB staff to promote effective and efficient methods for fulfilling food distribution efforts of the Foodbank and other program services.
2. Supports overall volunteer engagement efforts throughout the agency, when necessary, especially during special events—not limited to assisting with event set-up, breakdown, and site preparation of event activities. Includes weekends and holidays.
Education
· Minimum associate degree preferred plus 2 to 3 years of related experience.
· Food Safe or ServSafe certificate – or ability to receive a certificate.
Experience
· At least two years of experience managing or leading volunteers.
· Previous experience in training small groups and individuals is preferred.
