Job Summary
This position provides administrative support to the Ambulatory Director and Practice Operations Leaders. Additionally, this position performs a variety of responsibilities including coordinating schedules, arranging meetings, managing confidential information, scheduling front office staff, assisting with the administration of grants and contracts, addressing patient concerns regarding financial issues, and other responsibilities as requested.
Job Responsibilities
- Support daily functions of Leadership, including but not limited to; staff scheduling, filing, and coordinating meetings, and general office duties.
- Support Ambulatory Director, including but not limited to; scheduling meetings, preparation and distribution of Committee packets, attend meetings and take minutes, prepare and distribute minutes, and maintain Committee records.
- Reporting as needed or required by leadership, including but not limited to; Balanced Scorecard, clinical reporting, utilization reporting, and monthly tracking of co-payments received at the time of appointment by our PSRs.
- Assist with the administrative functions of grant writing, annual reporting, and contracts.
- Assist with internal and external audits.
- Submit maintenance requests and assist maintenance personnel as needed.
- Maintain appropriate supply inventory while staying within budget.
- Maintain calendar of events; including but not limited to licensures, board packets, and meeting schedules.
- Participate and preparation for any surveys as needed.
- Back up Front Office Team members as needed.
- Other duties are assigned.
Qualifications
Requirements
Education: High School Diploma or Equivalent required, Associates Degree preferred.
Required Experience: 2 – 5 years of job related experience preferred.
