Position Summary
We’re looking for a warm, organized, and proactive professional to serve as the first point of contact for our firm. The Office Manager & Administrative Coordinator ensures the smooth operation of our Oakdale office, delivers a best-in-class client experience, supports account service and firm projects, and provides light administrative assistance to firm leadership.
This role is ideal for someone who enjoys helping others, managing details, and creating a welcoming, polished environment. The position also plays an important role in coordinating client appreciation touches, including year-end gifting and seasonal efforts that reflect our firm’s care and gratitude.
Key Responsibilities
Office Management & Client Experience (60%)
- Greet clients warmly and maintain a professional, welcoming office atmosphere.
- Answer and direct incoming calls; manage voicemails and shared firm inboxes.
- Oversee day-to-day operations including supplies, mail, vendors, and facility coordination.
- Manage meeting scheduling, conference room setup, and hospitality needs.
- Coordinate marketing materials—organizing, routing for approval, and recording for compliance.
- Support firm events, internal communications, and team culture initiatives.
- Lead year-end gifting coordination, including gift lists, vendor management, packaging, delivery logistics, and maintaining compliance records.
- Maintain firm calendars, contact lists, and administrative systems.
Account Services & Firm Support (30%)
- Assist with client onboarding paperwork, custodian forms, and account maintenance requests.
- Provide backup support to the Account Services team during busy periods or absences.
- Help coordinate compliance, operational, or technology projects.
- Ensure all client interactions and service tasks are documented accurately in Salesforce (or similar CRM).
Executive & Personal Assistance (10%)
- Provide light administrative support to the Co-Presidents, including scheduling, travel coordination, and expense tracking.
- Assist with personal errands or coordination for leadership during busy seasons or firm events.
- Maintain strict discretion and confidentiality.
Hybrid Schedule
In-office Monday through Thursday, with the option to work remotely on Fridays. Occasional additional remote days may be approved based on workload and scheduling needs.
Qualifications
- 3 years of experience in office administration, executive support, or client service (financial/professional services preferred).
- Warm, professional communication style with a strong client-service mindset.
- Highly organized with excellent attention to detail and follow-through.
- Strong proficiency with Microsoft Office and Outlook; familiarity with Salesforce or similar CRM tools is a plus.
- Reliable, proactive, and able to manage multiple priorities calmly and efficiently.
