What are the responsibilities and job description for the Medical Practice Administrator position at Free Market Physician?
Practice Administrator
Midwest Regional · Joplin, MO · Full-time, on-site · Reports to the CEO and Owners
Salary $55,000–$80,000 plus performance bonus
About Midwest
Midwest Regional is a multi-specialty clinic serving patients across allergy, asthma, arthritis, and osteoporosis care. For us, culture comes before profit. We believe leadership is an act of service. Our leaders put their teams and patients first, lead with confidence and humility, and work through conflict directly and kindly. We can teach metrics and finance, but culture is caught, not taught, so we look for people who already live it. We care more about vision, mission, and results than about anything else, and we trust our people to own their work.
About the role
The Practice Administrator runs day-to-day operations for the clinic and serves as the operational link between ownership and our department leads. You'll oversee imaging, lab, allergy and shot room, infusion, clinical, billing, and accounting, making sure each department has the people, systems, and support it needs. You'll partner closely with the owners on financial performance, lead clinic-wide projects like our EMR technology rollout, and own the metrics that tell us how we're doing. Once our leaders and systems are strong, the role may grow to oversee additional locations and functions.
What you'll do
Business and profitability
- Partner with the owners on revenue, costs, staffing, and growth.
- Work with our billing and coding lead and our third-party accounting firm to understand performance and act on it.
- Help design and track an incentive bonus program that rewards results tied to our mission.
Metrics and leadership
- Build clear, useful metrics with the leadership team and department leads, then review them regularly.
- Coach and support department leads so each team hits its goals.
- Hire, develop, and manage staff in assigned departments. Staffing decisions are made in consultation with ownership and follow a documented plan, except in egregious situations.
Projects and execution
- Plan and lead clinic projects from idea to finish, and share the load with leaders when they need backup.
- Lead the EMR technology rollout, including workflows, training, and adoption.
Culture and people
- Keep a pulse on office dynamics, spot problems early, and resolve conflict fairly and quickly.
- Model our vision, mission, and values, and help leaders build a healthy, accountable culture.
Policies, safety, and compliance
- Develop and maintain policies and procedures with team leads.
- Build clinic-wide safety protocols with our compliance and safety officers, and make sure they're followed.
Marketing and outreach
- Support marketing efforts and empower staff and leaders to take part in community and referral outreach.
What we're looking for
- A medical background, or a combination of business and healthcare experience. We weigh experience and education equally, and a mixed background is welcome.
- Proven people leadership, ideally in a multi-department healthcare setting.
- Strong conflict resolution and communication skills.
- Comfort with numbers, or eagerness to learn them. We'll teach finance and metrics to the right leader.
- Someone who isn't afraid to lead but leads with humility.
- Comfort with having part of your pay tied to performance goals.
- EMR experience is a plus. NextGen experience is a bonus.
What we offer
- $55,000–$80,000 base salary, depending on experience.
- A performance bonus program you'll help shape.
- Flexible hours and vacation.
- A leadership seat in a growing organization, with room to take on more locations.
- [Benefits: health, PTO, 401k]
