About The Role:
The Executive Assistant to the VP of Physical Production (VPPP) for Magic Mike Live provides essential administrative and logistical support to a high-functioning, fast-moving production team responsible for the global deployment of venues and productions around the world. Based in New York City, this role is ideal for a resourceful and highly organized individual with excellent communication skills, a kind demeanor, and a passion for live entertainment. The Asst to VPPP will help manage department schedules, coordinate meetings and events, and serve as a key liaison between the production dept, producers, creatives, and external partners. Additionally, the role will be responsible for assisting the VPPP with day-to-day production office operations including maintaining and communication of budgets, schedules, crew rosters and production staff hiring.
What You'll Do:
Executive & Administrative Support
- Manage complex calendars and coordinate high-level meetings across time zones and productions
- Arrange domestic and occasional international travel, including detailed itineraries
- Draft, edit, and manage correspondence, presentations, and other confidential documents
- Prepare for meetings by compiling agendas, materials, and taking and distributing notes
- Engage in the development and tracking of budgets, spending and other administrative tasks.
- Assist with the development and maintenance of company-wide production schedules.
- Coordinate hiring of production staff among relevant departments.
Creative Coordination & Project Management Support
- Liaise between producers and internal and external partners, including creative teams, venue contacts, and business collaborators
- Support scheduling and coordination of creative and production deliverables across all Magic Mike Live productions worldwide
- Assist in the preparation of reports, and communications for internal and external stakeholders
- Track deadlines and deliverables related to production and related departments
- Help coordinate and work important events as needed across various departments
Professional Representation & Discretion
- Represent the production office professionally in all interactions
- Handle sensitive and confidential information with discretion and integrity
What We’re Looking For:
- Minimum 2 years of organizational or production-related experience within entertainment, media, or theater
- Superior organizational and time management skills with impeccable attention to detail
- Excellent verbal and written communication skills
- Proficient in Google Workspace, Microsoft Office, Zoom, and Mac-based systems
- Calm and solution-oriented under pressure, with a flexible and proactive attitude
- Kind, respectful, and collaborative in team environments
- A genuine interest in live performance and creative production and a willingness to learn
