Description
The Athletics Department Secretary at FCS supports and advances the mission of the school by providing administrative support to the Athletic Director and assisting with the smooth operation of the Athletics Department. This position is responsible directly to the Athletic Director. Responsibilities of the Athletics Department Secretary may include:
- Provides administrative support to the Athletic Director, including scheduling meetings, maintaining calendars, and managing departmental communications
- Assists with preparation and coordination of athletic events, games, and practices, including facility reservations and transportation scheduling
- Maintains accurate team rosters, schedules, and results in the school database and updates platforms as needed
- Communicates effectively with coaches, athletes, parents, and staff regarding schedules, changes, and announcements
- Greets and assists students, staff, visitors, and officials during athletic events; serves as a helpful point of contact for the Athletics Office
- Manages incoming phone calls and emails related to athletics, directing inquiries to appropriate personnel
- Coordinates the logistics for game days, including scheduling referees, coordinating volunteers, and organizing event setup
- Oversees athlete eligibility records, physicals, and permission forms; ensures compliance with school and league requirements
- Works closely with departments such as maintenance, security, technology, and the clinic to support athletic programming
- Creates and distributes regular athletic updates to families and staff through email, newsletters, Family Portal, and hallway displays
- Assists with uniform and equipment inventory, ordering, distribution, and collection
- Processes athletic requisitions and purchases in coordination with the Business Office, including online orders, purchase orders, and credit card requests
- Supports the planning and execution of athletics-related events such as awards ceremonies, sports banquets, and seasonal team meetings
- Maintains records of team accomplishments, awards, and historical data for archival purposes
- Maintains up-to-date content for the athletics section of the school website or portal
The Athletics Department Secretary should have the following qualifications:
- Committed Christian with a close personal walk with the Lord, maintained through personal routines (such as prayer and reading the Bible) and in the school setting (through regular participation in Prayer and Share devotional times and other spiritual development)
- Possesses Christian character qualities to serve as a role model for young people and readiness to share faith in Christ with students as part of our school’s mission
- Regular attendance at an evangelical Protestant church
- Commitment to a biblical lifestyle, not promoting or engaging in premarital, extramarital, transgender, or homosexual behavior
- If married, a strong marital commitment based on Mark 10:9 and positive marital relationship
- Strong commitment to Christian education and support of the school’s athletic mission
- A variety of computer and clerical skills; excellent written and oral communication ability
- Friendly, professional demeanor with the ability to work well with coaches, students, parents, and officials9. Highly organized and efficient
