Frederick Primary Care Associates is seeking an experienced Cardiology Office Manager to lead our new cardiology practice!

Frederick Primary Care Associates is excited to be opening a new cardiology office in the Frederick community, and we are looking for an experienced Cardiology Office Manager to help launch and lead the practice.

This is an exciting opportunity for a hands-on, collaborative leader who can hit the ground running and play a critical role in establishing the culture, workflows, processes, and standards of our new office.

The ideal candidate brings demonstrated experience managing a cardiology practice or specialty medical office, strong operational knowledge, excellent leadership skills, and the ability to balance the needs of patients, providers, and staff.

Primary Duties and Responsibilities

  • Take ownership of the day-to-day operations of the cardiology office, ensuring an efficient, organized, and patient-focused environment.
  • Establish and maintain office workflows, policies, procedures, and operational standards as the new practice launches and grows.
  • Partner closely with cardiologists, advanced practice providers, clinical leadership, and Central Administration to establish goals and expectations for the practice.
  • Recruit, interview, select, onboard, and train office staff in collaboration with practice leadership.
  • Build and develop a high-performing team with a strong culture of accountability, teamwork, professionalism, and exceptional patient service.
  • Provide day-to-day leadership, coaching, feedback, and performance management to office staff.
  • Serve as a role model for effective communication and professionalism throughout the practice.
  • Promote accountability among team members while creating a supportive and collaborative work environment.
  • Ensure patients receive a consistently positive experience from scheduling through check-in, clinical care, and checkout.
  • Identify opportunities to improve patient access, scheduling efficiency, patient flow, and overall office operations.
  • Develop and implement processes that prevent recurring problems and improve the efficiency and quality of care.
  • Coordinate and lead regular staff meetings, including developing meaningful agendas and ensuring appropriate follow-through.
  • Monitor office productivity, patient volumes, schedule utilization, financial performance, and other key operational metrics.
  • Develop and utilize reports to identify trends, opportunities, and areas requiring attention.
  • Work proactively to maximize physician schedules and improve patient access.
  • Monitor the financial and operational health of the practice and communicate opportunities and concerns to leadership.
  • Collaborate with Central Administration on billing, revenue cycle, human resources, compliance, technology, and other operational needs.
  • Help establish effective relationships with hospital systems, referral sources, vendors, and other external partners as appropriate.
  • Ensure compliance with applicable healthcare regulations, organizational policies, and patient privacy requirements.
  • Participate in the development and implementation of new programs, services, and workflows as the cardiology practice grows.
  • Collaborate with other FPCA offices to share best practices, resources, and solutions.
  • Remain flexible and willing to step in wherever needed to support the success of the practice—especially during the launch phase.

We are looking for an experienced cardiology practice leader who understands that opening a new medical office requires more than simply managing the day-to-day.

You will help build the practice from the ground up—establishing workflows, developing a team, creating a culture, solving problems, and helping ensure that our cardiology patients receive an exceptional experience from the very beginning.

The ideal candidate will have:

  • Prior experience managing a cardiology practice or cardiology office
  • Demonstrated success leading and developing healthcare teams
  • Strong knowledge of specialty-practice operations
  • Experience with physician scheduling and template management
  • Understanding of cardiology workflows, referrals, authorizations, testing, and specialty-care coordination
  • Experience with practice management systems and electronic medical records
  • Strong understanding of patient access, scheduling, and revenue-cycle fundamentals
  • Experience hiring, training, coaching, and evaluating employees
  • Ability to monitor and interpret operational and financial reports
  • Strong problem-solving and decision-making skills
  • Excellent verbal and written communication skills
  • Ability to build strong working relationships with physicians, clinical staff, administrative teams, and patients
  • High level of professionalism, integrity, and confidentiality
  • Strong organizational skills and exceptional attention to detail
