We are seeking a dedicated and organized Office Manager to join our team and help us continue our tradition of excellence. The Office Manager will be responsible for overseeing the daily administrative operations of our propane business.

This role is crucial in ensuring the smooth and efficient running of our office, supporting our team, and providing excellent service to our customers.

Key Responsibilities:

  • Administrative Management: Oversee daily office operations, ensuring all administrative tasks are completed efficiently and accurately.
  • Customer Service: Provide exceptional customer service, handling inquiries, scheduling appointments, resolving customer issues, and managing office retail operations.
  • Billing and Invoicing: Manage billing, invoicing, and accounts receivable processes, ensuring timely, accurate payments and managing collections.
  • Inventory Management: Maintain accurate records of propane, oil, and parts inventory and supplies, coordinating with vendors and managing orders.
  • Scheduling: Coordinate delivery schedules for propane deliveries, working closely with drivers, dispatchers, and customers to ensure timely service.
  • Record Keeping: Maintain organized and up-to-date records, including customer files, financial documents, and regulatory compliance records.
  • Communication: Serve as the primary point of contact for internal and external communications in a highly transactional business, including phone calls, emails, and office visits.

Qualifications:

  • 3 years of office management or administrative experience, preferably in a similar industry.
  • Education: High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Basic accounting skills and familiarity with billing/invoicing processes.
  • Ability to work independently and as part of a team.
  • Detail-oriented and problem-solving mindset.
  • Reliable and trustworthy with a strong sense of responsibility.
  • Friendly and approachable with a customer-focused attitude.
