The Research Administrator (RA) in the Stem Cell and Gene Therapy Program of the Translational Science and Therapeutics Division will work under the direction of the Program Research Administration Manager and Program Director. Investigators within the Stem Cell and Gene Therapy Program conduct preclinical and clinical research on blood stem cell biology and transplantation and gene therapy and genome editing. Responsibilities of the Research Administrator will include management and oversight for program finance and administration, grants and contracts, and regulatory compliance, as well as compliance with Center policies and procedures. Successful candidates should be able to demonstrate strong organizational skills, an interest in continuous learning, ability to analyze and communicate complex regulatory guidelines, and a desire to work in a supportive and collegial community. The individual will report to the Research Administration Manager.

This role will have the opportunity to work partially at our campus and remotely.

Responsibilities

Budget/Fiscal Support:

    Develop, monitor, track, and forecast the budgets for a complex portfolio of projects with multi-variable aspects (multi-site, sub awards etc.).
  • Develop, run, and analyze reports to identify issues and develop recommendations.
  • Develop customized report formats to share information with broad audiences across the organization.
  • Independently determine cost allocability and allowability and correct errors to ensure compliance with applicable regulations.
  • Build and oversee annual time and effort planning and reconciliation for faculty and where appropriate, research and support staff in assigned portfolio.
  • Serve as procurement liaison, placing and approving orders for supplies and equipment. Create and maintain standing orders for a variety of vendors.
  • Submit work orders for equipment repairs; procure and schedule outside maintenance when needed.

Funding Source Administration:

  • Manage grant activities, including grant preparation, post-award administration, budget development/management, forecasting, and reporting.
  • Assist with completion of all technical/non-scientific steps and assigned technical or scientific portions of submissions.
  • Review budgets, identify discrepancies and provide recommendations to the Principal Investigator (PI) on scenarios to resolve the issues with appropriate stakeholders.

Regulatory Support:

  • Prepare/Consult/Advise PIs on non-scientific portions of regulatory applications/submissions.
  • Identify missing regulatory components that are required and resolve issues to ensure successful submission or renewal.
  • Serve as a central point of contact to answer questions and facilitate solutions.

Administrative Support:

  • Identify administrative needs for the department or PI(s); prioritize and ensure related tasks are completed.
  • Assist with management of HR processes, including recruitment, promotions, appointment changes, onboarding, offboarding, and the annual merit review process.
  • Oversee the management of projects, including occasional event planning and management.
  • Communicate with other departments/entities on PI's behalf.
  • Resolve discrepancies and issues with stakeholders on PI's behalf.
Qualifications

MINIMUM QUALIFICATIONS:

Research Administrator III:

  • A Bachelor's Degree or 3 years relevant experience.
  • Minimum of one year experience managing federal and/or non-federal sponsored research.
  • Advanced proficiency with Microsoft Office/Adobe
  • Working knowledge of Excel formulas and functions such as creating formulas and working with Pivot Tables
  • Ability to edit SharePoint sites or basic web pages
  • Knowledge/prior experience with Enterprise Software Systems
  • Ability to source data from systems and generate customized reports
  • Efficiently planning, organizing, and prioritizing your work as well as that of others
  • Ability to tailor communications to specific audiences
  • Ability to navigate complex internal systems and departments
  • Basic budgetary knowledge (ability to reconcile, manage, report budget information, etc.)
  • Basic knowledge of accounting terminology
  • Knowledge of relevant regulatory guidelines such as IRB, IACUC, MUA
  • Prior experience or exposure to grant writing/applications

Research Administrator IV:

  • A Bachelor's Degree or 4 years relevant experience.
  • Minimum of three years experience managing federal and/or non-federal sponsored research.
  • Experience creating and executing strategic plans
  • The ability to delegate tasks to appropriate resources
  • Multi-project grant experience with a wide variety of funding sources
  • The ability to analyze and interpret regulations, determine impact, and manage change

PREFERRED QUALIFICATIONS:

  • Prior grants and contract management experience of more than 4 years.
  • Proficient in fiscal and budgetary management.
  • Prior project management or supervisory experience.
  • Strong organizational and problem-solving skills and the ability to manage competing priorities.

Research Administrator III: The annual base salary range for this position is from $84,490 to $126,714, and pay offered will be based on experience and qualifications.

Research Administrator IV: The annual base salary range for this position is from $93,163 to $139,714, and pay offered will be based on experience and qualifications.


Although Fred Hutch is not sponsoring most H-1B visas at this time, candidates who already hold an H-1B sponsored by another organization and are currently in the U.S. may be eligible for this position.
