Client Billing
- Enter billing information for new clients and matters as necessary.
- Be sure all time and client disbursements have been entered into billing system.
- Prepare pre-bills (WIPS) for monthly billing and as needed for review by the attorneys and follow up with attorneys to ensure reviews are completed in timely manner.
- Prepare edits of time entries; make requested fee adjustments; client expense and/or fee write-offs as needed; make necessary billing code conversions, and any necessary billing recaps as required by clients.
- Prepare final bills, update bills and submit to attorneys for submission to clients.
- Closing of files in system, as requested.
- Prepare reminder bills as needed from Accounts Receivable Reports.
- Prepare timekeeper billing recaps monthly.
- Prepare, export and submit electronic billing (including backup documentation when necessary) for all clients requiring electronic billing.
- Maintain online electronic records for submitting electronic bills, i.e. matter reconciliation, rates, and adding new timekeepers and budgets for clients requiring the same.
- Monitor and enter client rate records in system.
- Accounts receivable follow-up via correspondence/electronic billing system.
Processing Firm Checks
- Prepare checks for client disbursements and post to appropriate firm and client accounts.
- Submit vendor invoices and remittance checks to Firm Managing Partner for signature and prepare signed checks for mailing to vendors.
- Prepare checks for reimbursement requests as needed.
Billing System Support
- Create validation files for billing system remote users and copy control systems.
- Import remote and copy control data into billing system.
- Maintain updated timekeeper information in system.
Trust Accounting
- Issue trust checks and provide information on trust balances as needed.
Back-Up Support
- Act as back-up for the other back-office positions for critical tasks as needed.
