The campus houses Frank Residences, assisted living and memory care, the Jewish Home and Rehabilitation Center, an acute geriatric psychiatric unit, and the Jewish Home and Senior Living Foundation.
Position Overview
The Executive Assistant (EA) provides support to the Executive Director and Assistant Executive Director. The EA will be responsible for performing a wide range of administrative duties/tasks and assisting with special projects. The ideal candidate is highly self-motivated, professional, friendly, tactful, has excellent organizational skills and capable of managing their workload and prioritizing tasks in a senior living environment.
Essential Job Functions
- Coordinate and organize information within the Administration office suite including answering calls/emails, returning voicemails/emails, scheduling meetings/appointments, maintaining contact lists, and developing systems to support the day-to-day office operations and support the community in remaining in compliance with Licensing.
- Interface with residents, families and staff to provide information about Frank Residences (FR), problem solve and offer general support. Act as the ‘gatekeeper’ to the Administration office.
- Prepare confidential and time-sensitive materials for meetings, presentations and general distribution.
- Maintain and order supplies for efficient office operations including office supplies, refreshments and other necessary items.
- Develop and maintain an organized filing system for both paper and electronic documents.
- Receive, sort and distribute mail for management office. Prepare and monitor vendor invoices.
- Independently manage and coordinate special projects as directed.
- Provide coverage for other roles, primarily the FR
- Perform a variety of other tasks as assigned related to organizational, regulatory and communication and administrative functions.
- Uphold a strict level of confidentiality
- Other duties as assigned
Qualifications:
- Bachelor’s Degree in Business, Communications or related field preferred, or an equivalent amount of professional experience
- At least three years of relevant experience as an executive assistant, ideally in a healthcare setting
- Excellent oral and written communications skills including the ability to communicate articulately and succinctly with a wide range of constituents
- Have a keen interest in working directly with seniors and on projects that will improve the well-being of seniors
- Excellent analytical and problem-solving skills (e.g. being resourceful)
- Demonstrated ability to prioritize multiple tasks and meet deadlines
- Demonstrated capacity for project management
- Ability to work proactively, both independently and with others in a team environment
- Ability to learn and adapt to changes quickly
- Computer software skills including proficiency in standard business applications
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Must be able to sit for up to 75% of the workday
- Must be able to stand and walk throughout the workday.
- Must be able to push and pull up to 50 lbs. unassisted.
- Must be able to lift up to 30 lbs.
- Must be able to bend and reach.
- Must have good manual dexterity for typing and operation of office machinery including computer.
- Requires continuous mental and visual attention
Compensation & Benefits
- Pay rate: $33/hr - $35/hr depending on experience
