EDUCATION/TRAINING

High school diploma or equivalent, plus business/legal secretarial training required, including excellent computer, organizational and communication skills. Some knowledge of legal terminology and preparation of legal documents required.

WORK EXPERIENCE

2-4 years working experience in law office environment. Or, any equivalent combination of experience/training required.

Position Description Non-Exempt

OVERALL OBJECTIVE OF JOB

To assist Judge with secretarial and administrative duties of department involving complex litigation, policies and procedures.

ESSENTIAL FUNCTIONS OF JOB

  • Performs day-to-day operations of the judicial schedule; providing court crier and judge with daily calendar and items needed for hearings/meetings throughout the day; updating the judge with events throughout the day.
  • Schedules hearings, trials, proceedings, meetings, and functions as needed.
  • Sets up virtual links for hearings and meetings and provides the links to the necessary individuals.
  • Notifies necessary individuals regarding any schedule change to the judge’s calendar.
  • Maintains multiple calendars for the judge.
  • Prepares court orders, memorandums, forms, reports and letters as necessary; composes routine correspondence; checking accuracy of orders.
  • Takes dictation from the judge.
  • Files and conforms executed court orders in the appropriate filing office.
  • Becomes familiar with files of all cases and other matters assigned to each individual judge and be aware of any action required.
  • Interacts with attorneys, court staff, law enforcement agencies, filing offices and other agencies regarding procedural/scheduling questions.
  • Prepares and requests files for hearings by assembling legal records and other needed information, including previous appeals, rulings and other pertinent documents.
  • Answers telephone and responds to routine inquiries; directs legal questions to proper individual.
  • Responds to, composes and forwards emails.
  • Greets and directs individuals entering Judge's chambers.
  • Operates computer, typewriter, copier and other office equipment daily.
  • Programs documents and data into computer to maintain records and needed information.
  • Updates publications and periodicals for the judge’s library.
  • Makes travel arrangements for judge’s conferences/travel.
  • Collects, opens and scans daily mail.

OTHER DUTIES OF JOB

  • Attends meetings or training sessions as necessary.
  • Assists other clerical staff as needed.
  • Assists in training new law clerks
  • Requisitions office supplies as necessary.
  • Performs other job related duties as required.

SUPERVISION RECEIVED

Receives occasional instruction and very little supervision from Judge in regard to daily work duties.

WORKING CONDITIONS

  • Works indoors in adequate work space, lighting and temperatures, but with fluctuations in ventilation.
  • Normal indoor exposure to noise, but subject to frequent disruptions and stress.
  • Normal indoor exposure to dust/dirt.
  • Works occasionally with volatile or potentially upset or aggressive individuals.

PHYSICAL AND MENTAL CONDITIONS

  • Must possess ability to record, convey and present information, explain procedures and follow instructions.
  • Must be able to sit for long periods throughout the workday, with intermittent periods of standing, walking, bending, twisting and reaching necessary to carry out duties of job.
  • Dexterity requirements range from simple to coordinated movements of fingers/hands; feet/legs; torso necessary to carry out duties of job.
  • Sedentary work, with occasional lifting/carrying of objects with a maximum weight of thirty pounds.
  • Must demonstrate emotional stability.
  • Must be able to cope with the physical and mental stress of the position.
  • Must able to move frequently throughout the work day.
  • Must be able to pay close attention to details and concentrate on work.

QUALIFICATIONS

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Must be able to speak and understand the English language in an understandable manner in order to carry out essential job duties.
  • Must possess effective communication and interpersonal skills.
  • Must possess ability to function independently, have flexibility and the ability to work effectively with clients, co-workers and others.
  • Must possess initiative and exercise discretion in handling of administrative matters.
  • Must possess ability to maintain confidentiality in regard to client information and records.
  • Must possess the technical knowledge of operating personal computers, several miscellaneous computer software programs and other office equipment.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess ability to use tact, discretion and patience in dealing with general public and others.
  • Must possess knowledge of office practices and procedures, and some knowledge of practices and operations of civil and criminal court systems.
  • Must possess knowledge of legal terminology.
  • Must possess some knowledge in preparation and assembling of briefs and legal documents.
  • Must possess ability to compose letters and reply to routine correspondence using excellent grammar and spelling.
  • Must possess ability to establish and maintain files, records and prepare reports and legal documents.
  • Must possess a valid driver’s license.
