The primary purpose of this position is to provide administrative support to the Family and Children's Services Division. The Child Welfare Division consists of units responsible for providing Protective Services and Permanency Planning Services. The Protective Services Units are comprised of intake, investigations and assessments, and in- home services for cases received, accepted, and provided in home services in Child Welfare.
Work Schedule
The position is scheduled to work Monday through Friday 8:00am to 5:00pm. On occasion, employee may be required to work over-time in emergency situations. Employee will work rotating shift in emergency shelters during times of disaster.
Duties and Responsibilities/Knowledge, Skills, Abilities
60% - Administrative Duties: Consists of accessing multiple high-level systems and databases to search for identifying and background information on adults and children involved in the Child Welfare system. The information obtained must be thorough, accurate, and made available to supervisors and staff timely daily. Communicates and interprets the reports and data to the supervisors and staff due to the critical nature and safety factors. Uploads the data into specified areas within the web-based Child Welfare Information system. Must have thorough knowledge of various systems and maintain strict security protocols when accessing data. Provide support and can troubleshoot system issues staff experience to include submitting requests for assistance through email or by phone.
15% - Data Management: Reviews, uploads, and/or keys confidential documents such as safety assessments, temporary safety provider forms, court forms and orders, and other case related documents into the Child Welfare Information System. Responsible for downloading case information from different systems such as Share Points and uploading to state and internal databases in preparation for state and federal audits and reviews.
15% - Supervisory/Staff Support: Prepares and maintains a monthly on call calendar for Child Welfare staff with supervisor guidance. Requests, organizes, and maintains medical records, meeting minutes for the Child Fatality Prevention team as well as takes notes during meetings to support Program Administrator. Takes lead role during community awareness events through engaging with community partners and displaying information representing the event. Can assist staff with supervising children who are at the agency and with transporting. Provides training on the multiple state and web-based systems to include accessing, navigating, and interpreting data. Assists staff in the preparation and completion of court forms when it is necessary to assume legal custody of a child(ren).
10% Back-Up Support: This position requires flexibility and adaptability daily due to the number of positions to which it provides back up support. This position is responsible for serving as backup to the front desk, switchboard, and mail person.
Knowledge, Skills, and Abilities
Significant knowledge of office or work unit procedures, methods and practices. Significant knowledge of and ability to use correct grammar, vocabulary, spelling and office terminology to compose and/or proofread correspondence, reports and other materials. Ability to apply sentence and grammatical structure to independently compose and format materials within established guidelines. Ability to record, compile, summarize, and perform basic analysis of narrative and numerical materials. Ability to learn and independently apply laws, departmental rules and regulations. Ability to learn office process and procedures and apply this knowledge in problem-solving and responding to questions and inquiries. Ability to use judgment in coordinating and monitoring office procedures and workflow. Ability to use courtesy and tact in performing public contact and communication duties that may be sensitive in nature. Ability to schedule and coordinate a variety of appointments, meetings and/or conferences.
Desirable Education and Experience
Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least three of office assistant/secretarial experience; or completion of a two-year secretarial science or business administration program with one year of experience as described above; or an equivalent combination of training and experience.

Must possess a valid North Carolina driver's license upon hire.

Salary : $39,055 - $42,961
