What are the responsibilities and job description for the CONSTRUCTION Office Administrator position at Frank Galbraith & Son Excavation and Demolition?
HOURS 8am to around 2pm approx Monday to Friday (as needed flexible hours)
Flexible hours paid time off after 9 months of employment
Must be a fast learner and have a little knowledge of the construction business
- Request and record pricing on material for new and revised proposals
- Communicate with the purchasing manager when needed, regarding purchasing the material for jobs
- Send invoices and create estimates, work orders
- Coordinates and implements general office services such as appointment-setting, records control, and other administrative activities
- Communicates effectively with all departments
- Constant follow-up by phone and email with clients and vendors
- Works collectively with the Project Managers and Accounting when applicable
- Uses various software applications such as QuickBooks,
- Exercises administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
- Perform other duties as assigned
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Proficient with QuickBooks REQUIRED
- Detail oriented and organize
- Good oral and written communication skills.
- Adaptable, positive attitude, and strong interpersonal skills.
- Estimating: Order, scan & copy plans and specs; prepare bid spreadsheets and bid packages; gather subcontractor/supplier quotes; take bids to opening
- Project Management Assistance/EEO Compliance: Order material as directed; respond to requests of project owner officials and subcontractors/suppliers as requested by project managers; and prepare and organize monthly EEO reports.
- General Office Assistance: Order supplies; sort mail; run errands; general correspondence, reception, and other admin functions as needed
Job Types: Full-time, Part-time
Pay: $22.37 - $25.00 per hour
Expected hours: 30 – 40 per week
